Job Overview The Safety and Compliance Assistant provides administrative support for NT&T's chauffeur safety, training, hours-of-service, personnel recordkeeping, and recruiting programs. This position works closely with the Safety and Chauffeur Manager to monitor compliance activity, maintain accurate records, communicate outstanding requirements, and help ensure our chauffeurs are prepared to operate safely and professionally. The ideal candidate is organized, detail-oriented, comfortable working with multiple software systems, and able to follow up professionally and consistently with employees and applicants. Responsibilities Review chauffeur-related communications and document safety, service, conduct, and performance concerns in the appropriate records. Monitor the Samsara Safety Inbox, review event videos, assign coaching as directed, communicate with chauffeurs, and track completion. Record applicable Samsara alerts in chauffeur feedback logs and performance-tracking spreadsheets. Review unassigned driving activity and associate it with the appropriate chauffeur in Samsara. Conduct periodic camera reviews to monitor seatbelt use and uniform compliance. Prepare and post weekly chauffeur safety scores and employee recognition. Review chauffeur schedules and hours-of-service information in LimoAnywhere and Samsara. Identify potential hours-of-service conflicts, extended assignments, or fatigue concerns and promptly escalate them to management. Monitor chauffeur availability submissions and follow up regarding missing or incomplete information. Assist with monthly chauffeur safety meetings, including attendance tracking, documentation, and follow-up. Track the completion of required safety documents, training materials, and monthly quizzes. Run weekly PAX Training reports and follow up with chauffeurs regarding outstanding training. Create and maintain electronic chauffeur and new-hire files in Dropbox. Scan, label, organize, and file required employee and safety documentation. Review Indeed applications, conduct initial candidate screening, and provide qualified resumes to management. Prepare and post recurring safety communications and educational materials. Provide general administrative support to the Safety and Compliance Department. Perform other related duties as assigned. Qualifications High school diploma or equivalent required. Previous administrative, transportation, safety, compliance, human resources, or recordkeeping experience preferred. Strong organizational skills and attention to detail. Ability to maintain accurate records across multiple systems and spreadsheets. Professional written and verbal communication skills. Working knowledge of Microsoft Outlook, Word, and Excel. Experience with Samsara, LimoAnywhere, Dropbox, Indeed, or similar systems is preferred but not required. Ability to learn new software, procedures, and compliance requirements. Ability to handle confidential employee and safety information with discretion. Strong follow-through and the ability to meet recurring deadlines. Ability to prioritize multiple responsibilities and work independently. Comfortable reviewing video-based safety events and following up on outstanding compliance requirements. Dependable, accountable, and committed to supporting a strong safety culture. Work Environment This is an administrative position within a fast-paced transportation operation. The employee will regularly review safety events, maintain time-sensitive records, communicate with chauffeurs, and follow up on outstanding training and compliance requirements.
