The role is responsible for promoting consistency, identifying service and operational gaps, and ensuring each residence is maintained and prepared in accordance with established family preferences and hospitality standards. Job Qualifications 8-12+ years of experience in luxury residential hospitality, ultra-high-net-worth (UHNW) household operations, boutique hotels, or high-end resorts, with multi-property or multi-unit experience strongly preferred. Proven track record of developing, implementing, and maintaining SOPs, checklists, and hospitality standards across multiple locations and staff teams. Demonstrated experience training and coaching housekeeping, interior operations, and hospitality staff in high-expectation environments. Strong background in inventory, linen, amenity, and household supply management within private residences or luxury hospitality environments. Experience developing and maintaining family and guest preference sheets and supporting highly personalized service standards. Strong project management and scheduling skills, with experience using SharePoint, project management software, or similar tools preferred. Excellent written and verbal communication skills, including the ability to provide clear, constructive, and actionable feedback to employees and managers at all levels. High level of discretion, professionalism, and confidentiality, with the ability to work comfortably around principals, guests, and senior leadership. Willingness and ability to travel regularly between properties, including domestic and occasional international travel. (Travel dates would be determined by family need. Short notice and back to back trips can occur. Home base ideally in Palm Beach and traveling to other properties 50% of the time) Ability to adapt to changing schedules, priorities, and family needs while maintaining a high level of organization and attention to detail. Standards, SOPs & Checklists Maintain and continuously improve hospitality standards, SOPs, checklists, and property-readiness protocols. Establish and support consistent property routines and service expectations across residences. Coordinate updates to standards, procedures, and checklists with Property and Residence Managers as needed. Monitor implementation of established standards and identify opportunities for greater consistency across properties. Property Inspections & Audits Conduct regular property walkthroughs, inspections, and hospitality quality-control reviews. Review housekeeping, organization, inventory, presentation, and overall property-readiness standards. Identify areas that require attention or improvement and communicate findings to the appropriate Property or Residence Manager. Document observations, establish follow-up items, and confirm completion of identified corrective actions. Housekeeping, Laundry & Deep Cleaning Support annual, seasonal, and quarterly deep-cleaning schedules across residences. Maintain and monitor standards for housekeeping, laundry, linen care, organization, and cleanliness throughout all areas of the residence. Review housekeeping processes and identify gaps, inconsistencies, or follow-up needs. Support Property and Residence Managers in maintaining consistent cleaning, presentation, and organizational standards. Inventory, Preference Sheets & Purchasing Support Standardize and maintain inventory systems and par-level expectations across properties. Develop, maintain, and regularly review family and guest preference sheets to ensure information remains current and actionable. Facilitate preference updates directly with the appropriate family members when needed and ensure changes are communicated to and implemented by the relevant teams. Verify that established preferences are properly reflected in property setups, amenities, supplies, and service delivery. Coordinate recurring operational needs with Purchasing Managers and proactively identify potential shortages, inconsistencies, or supply concerns before they affect property readiness or service. Pre-Arrival & Readiness Programs Lead and support pre-arrival readiness efforts for family stays, guest visits, events, and seasonal transitions. Conduct advance property visits and walkthroughs to assess overall readiness and identify outstanding items before family arrival. Coordinate with Property and Residence Managers on property presentation, supplies, room readiness, inventory, amenities, and family preferences. Verify that established family preferences and requested setups have been implemented accurately throughout the residence. Produce formal readiness reports one month prior to arrival, two weeks prior to arrival, and three to five days prior to arrival, with outstanding items, responsible parties, and required follow-up clearly identified. Conduct final readiness reviews to ensure identified issues have been resolved prior to arrival. Coordinate with Hospitality Operations to ensure off-season property setups align with in-season programming, family preferences, and anticipated service plans. Post-Arrival & In-Residence Support Provide on-site support once the family is in residence to ensure the property transitions smoothly from pre-arrival preparation to live hospitality operations. Work alongside the Traveling Hospitality Manager, Property Manager, Residence Manager, and hospitality support teams to identify and address any gaps between pre-arrival planning and actual family needs. Remain available during the initial in-residence period to support urgent corrections, address questions, and ensure local teams have the guidance and resources needed to maintain established service standards. Observe the effectiveness of pre-arrival setups and identify opportunities to improve future readiness processes. Document lessons learned, preference updates, service adjustments, and operational changes identified during the stay so future arrivals and readiness plans can be continuously improved. Travel & Reporting Maintain a property travel and inspection schedule based on family calendars, upcoming arrivals, seasonal transitions, and operational priorities. Coordinate property visits with Property and Residence Managers to ensure appropriate preparation and follow-up. Prepare clear pre-arrival, readiness, inspection, and post-arrival reports.
