About the Role The Community Associate supports the day-to-day operations of the management team. You handle the administrative work that keeps the community running — violations, records, reservations, reports — and step into the full resident-facing role. This role requires someone equally comfortable working through a task list at a desk as they are handling a resident at the clubhouse door. You stay organized, follow through, and keep things moving without being managed. What You'll Do Administration & Operations Process and log violations accurately within the community management platform; track status and follow up as directed. Maintain organized records including files, logs, and communication threads. Prepare daily, weekly, and monthly reports accurately and on time. Coordinate with vendors and management staff; follow up to ensure tasks are completed and closed out. Manage clubhouse, pool, and amenity reservations; confirm details and communicate with residents. Support the Community Manager with special projects and administrative tasks as assigned. Resident Support Answer all incoming calls, emails, and in-person inquiries promptly and professionally — same day, no exceptions. Assist residents with requests, concerns, and general information; escalate with context when needed. Serve as the primary resident-facing contact on days the Community Concierge is not scheduled. Support community events through setup, coordination, and cleanup. Facilities Walk common areas and report maintenance or safety concerns with photos and priority notes. Maintain cleanliness and presentation of the clubhouse and shared spaces throughout the day. Submit work orders with accurate detail — location, issue, and priority level. What "Good" Looks Like You won't be measured by how much time you spend at a desk. You'll be measured by how well the operation runs and how taken care of residents feel. Nothing slips. Tasks are logged, followed up on, and closed out without being reminded. Residents are taken care of. Inquiries get a real response, same day. The space is right. Common areas and the clubhouse are consistently clean and well-presented. The team is covered. On days without the Concierge, residents don't notice the difference. Communication is clear. The Community Manager always knows where things stand. Requirements Prior administrative, customer service, or HOA experience preferred. Organized and detail-oriented; able to manage multiple tasks without things slipping. Proficient in email, Google Workspace, and Apple devices; experience with community management platforms a plus. Professional in appearance and communication at all times. Available for variable hours including weekends, evenings, and holidays as required. Able to move throughout the community on foot, lift up to 25 lbs, and perform light cleaning and room setup. Bilingual English/Spanish a plus.
