Position Summary The Canton Palace Theatre is seeking a highly organized, collaborative, and detail-oriented Communication & Engagement Project Coordinator to support the planning and execution of community engagement, sponsorship, membership, and organizational initiatives. The coordinator works closely with the Director of Development to support campaigns, communications, events, and operational workflows that strengthen donor engagement and community visibility. The ideal candidate is proactive, adaptable, and comfortable balancing multiple projects at once while maintaining strong attention to detail. This position plays an important role in helping the Theatre stay organized, responsive, and connected to the community. A Role Designed to Grow As a small and collaborative nonprofit organization, team members at the Canton Palace Theatre often work across traditional departmental boundaries. Depending on the successful candidate's skills and professional goals, this role may evolve to include increased responsibility in communications, community engagement, fundraising, grant writing, operations, or project leadership. Key Responsibilities Project Coordination & Operations
Coordinate timelines, deliverables, and logistics for development campaigns and community events
Help track project progress and ensure deadlines and follow-up items stay on schedule
Maintain organized systems, files, and workflows that support department operations
Assist with internal coordination between departments, vendors, partners, and community stakeholders
Prepare contracts, invoices, agreements, and support administrative materials as needed CRM & Data Management
Maintain and manage the Theatre's CRM database with a high level of accuracy and organization
Track memberships, sponsorships, advertising partnerships, donor activity, and community contacts
Process memberships, renewals, sponsorship payments, donations, and related transactions
Generate reports and assist with audience segmentation for outreach and communications Communications
Build and distribute email communications using Mailchimp or similar platforms
Draft, schedule, and coordinate communications for members, sponsors, and community partners
Assist with the creation of promotional materials for print, digital, and social media use
Support updates to website content
Assist with campaign planning, communication calendars, and promotional timelines Community Engagement Support
Help coordinate sponsorship and membership fulfillment activities, acknowledgements, and benefit tracking
Support communication and relationship management with sponsors, advertisers, members, and community partners
Maintain organized tracking systems for partnerships, memberships, and outreach efforts
Assist with community engagement activities, events, expos, and outreach opportunities
Support follow-up communication and lead tracking related to community engagement efforts Grant & Funding Coordination Support
Assist with researching grant and funding opportunities aligned with organizational programs and initiatives
Help organize supporting materials and documentation for grant applications and reports
Maintain grant calendars, deadlines, and submission tracking systems Qualifications
3-5 years of experience in project coordination, marketing, communications, operations, nonprofit administration, or related fields
Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously
Experience coordinating projects, timelines, and collaborative workflows
Familiarity with CRM systems, project management software, and collaborative digital tools preferred
Experience with email marketing platforms such as Mailchimp preferred
Experience creating visual and written communications using Canva or similar platforms preferred
Proficiency with Microsoft Office Suite, Google Workspace, or similar software
Strong written and verbal communication skills
Comfortable working independently while collaborating closely with a team

Work Environment This position works closely with the Director of Development and supports initiatives across marketing, communications, community engagement, and organizational operations. The role includes both office-based work and occasional evening or weekend events, outreach activities, and community engagements. $43,000.00 - $47,000.00 per year
