Job Description
- Coordinate timelines, deliverables, and logistics for development campaigns and community events
- Help track project progress and ensure deadlines and follow-up items stay on schedule
- Maintain organized systems, files, and workflows that support department operations
- Assist with internal coordination between departments, vendors, partners, and community stakeholders
- Prepare contracts, invoices, agreements, and support administrative materials as needed CRM & Data Management
- Maintain and manage the Theatre's CRM database with a high level of accuracy and organization
- Track memberships, sponsorships, advertising partnerships, donor activity, and community contacts
- Process memberships, renewals, sponsorship payments, donations, and related transactions
- Generate reports and assist with audience segmentation for outreach and communications Communications
- Build and distribute email communications using Mailchimp or similar platforms
- Draft, schedule, and coordinate communications for members, sponsors, and community partners
- Assist with the creation of promotional materials for print, digital, and social media use
- Support updates to website content
- Assist with campaign planning, communication calendars, and promotional timelines Community Engagement Support
- Help coordinate sponsorship and membership fulfillment activities, acknowledgements, and benefit tracking
- Support communication and relationship management with sponsors, advertisers, members, and community partners
- Maintain organized tracking systems for partnerships, memberships, and outreach efforts
- Assist with community engagement activities, events, expos, and outreach opportunities
- Support follow-up communication and lead tracking related to community engagement efforts Grant & Funding Coordination Support
- Assist with researching grant and funding opportunities aligned with organizational programs and initiatives
- Help organize supporting materials and documentation for grant applications and reports
- Maintain grant calendars, deadlines, and submission tracking systems Qualifications
- 3-5 years of experience in project coordination, marketing, communications, operations, nonprofit administration, or related fields
- Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously
- Experience coordinating projects, timelines, and collaborative workflows
- Familiarity with CRM systems, project management software, and collaborative digital tools preferred
- Experience with email marketing platforms such as Mailchimp preferred
- Experience creating visual and written communications using Canva or similar platforms preferred
- Proficiency with Microsoft Office Suite, Google Workspace, or similar software
- Strong written and verbal communication skills
- Comfortable working independently while collaborating closely with a team
