20-25 hours per week Compensation $28-$32 per hour, depending on experience and capabilities Full-time growth opportunity Reports To Chief Executive Officer (CEO) About the Company Helen Couture is a growing luxury ready-to-wear fashion brand entering an exciting stage of growth and expansion. We are looking for a highly organised, dependable and proactive Brand & E-Commerce Operations Manager to support the day-to-day running of our Houston office, e-commerce business and customer experience. This is a hands-on, all-rounder role for someone who enjoys fashion, e-commerce, organisation, customer service and getting things done. The successful candidate will be comfortable taking ownership, managing multiple priorities and working independently without needing constant direction. You will work closely with the CEO to ensure that the Houston operation runs smoothly, inventory and e-commerce records remain accurate, customers receive a polished experience, and the practical details behind shoots, fittings, deliveries and other brand activities are properly coordinated. We are looking for someone who sees what needs to be done, takes initiative and follows things through. What You Will Own 1. Shopify & E-Commerce Manage the day-to-day Shopify store, including products, SKUs, pricing, collections and inventory. Monitor customer orders and order statuses and update product information when required. Process exchanges, returns, refunds and discount codes in accordance with company guidelines. Ensure online inventory accurately reflects available physical stock. Identify low-stock items, order issues, pricing errors and website discrepancies and flag them promptly. Monitor basic e-commerce performance, including orders, sales, best-selling products, inventory movement and other relevant metrics. Provide regular updates to the CEO on e-commerce activity, issues and opportunities. Maintain accurate product information and ensure the online presentation remains consistent with the brand's standards. Shopify development is not required, but you should be comfortable working independently within Shopify. 2. Inventory Management Receive and organise incoming merchandise, samples and deliveries. Maintain accurate inventory records by style, SKU, colour and size. Count and reconcile incoming stock against delivery records. Conduct regular physical inventory checks and reconcile discrepancies. Separate and properly record samples, returns, damaged merchandise, garments used for shoots and sellable inventory. Maintain accurate records of garments that are loaned, moved, returned or used for fittings, shoots, shows or events. Keep garments properly stored, organised and presentation-ready. Identify and promptly report missing, damaged or unexplained inventory. Maintain an organised and efficient inventory area consistent with the standards of a luxury fashion business. 3. Customer Service & Client Experience Respond professionally and promptly to customer enquiries relating to orders, sizing, shipping, exchanges and returns. Provide a warm, polished and personalised customer experience consistent with a luxury fashion brand. Follow up on outstanding customer issues and ensure matters are resolved within agreed timelines. Assist customers with product and sizing enquiries where appropriate. Coordinate customer appointments and fittings when required. Maintain appropriate customer records and follow up with clients when necessary. Escalate sensitive, unusual or high-value customer matters to the CEO when appropriate. Identify recurring customer issues and suggest practical improvements to the customer experience. 4. Order Fulfilment & Shipping Prepare and fulfil online orders accurately and efficiently. Pick and quality-check merchandise before shipment. Prepare garments and packaging according to company standards. Print shipping labels and coordinate carrier pickups or drop-offs. Monitor deliveries and tracking information. Process and track exchanges and returns. Maintain adequate packaging, shipping and fulfilment supplies. Ensure every order is accurately prepared and beautifully presented. Identify and resolve fulfilment or shipping issues promptly. 5. Houston Office, Calendar & Administrative Management Help oversee the day-to-day organisation of the Houston office. Maintain a clean, organised and professional workspace consistent with the brand's image. Receive packages, samples, inventory and business deliveries. Schedule and coordinate business meetings, appointments, fittings, calls, customer appointments and visitors. Maintain an organised business calendar, schedules and deadlines. Send reminders, confirmations and follow-ups when necessary. Take meeting notes when required and track agreed action items. Follow up on outstanding tasks, commitments and deadlines. Coordinate with vendors, clients and external partners. Maintain adequate office, packaging and operational supplies. Keep important documents and business information organised and easily accessible. Support the CEO with administrative and operational follow-up as required. 6. Shoot, Show & Creative Scheduling Coordinate and schedule photoshoots, campaign shoots, e-commerce shoots, fittings, shows and other brand activities. Communicate with photographers, videographers, models, makeup artists, hairstylists, studios, locations and other vendors as required. Coordinate dates, availability, locations and schedules. Maintain calendars and production timelines ahead of scheduled activities. Help organise garments, samples and looks required for shoots, fittings, shows and other activities. Ensure required garments, accessories, samples and other materials are prepared in advance. Follow up with vendors regarding agreed timelines, logistics and deliverables. Identify potential scheduling conflicts or operational issues early and communicate them promptly. This is a coordination and scheduling responsibility; it is not a content-creation role. 7. Brand & Operational Support We are looking for someone who is naturally proactive and comfortable taking initiative.
You will be expected to:
Identify what needs attention and take appropriate action. Suggest practical ways to improve organisation, efficiency and customer experience. Identify opportunities to improve e-commerce performance and operational processes. Research potential vendors, services, events and business opportunities when requested. Assist with vendor coordination and obtain relevant information or quotations when required. Help maintain consistency in the brand's aesthetic, presentation and customer experience. Support the CEO with special projects and operational priorities as required. Bring thoughtful, commercially sensible ideas to the business. Solve routine problems independently while knowing when to escalate more significant matters. Decision-Making & Escalation The successful candidate will be trusted to independently manage routine operational matters within established company guidelines. However, matters involving significant customer complaints, pricing exceptions, substantial refunds, unusual inventory discrepancies, vendor commitments, financial commitments or other sensitive issues should be escalated to the CEO before action is taken. The expectation is not that you will wait for instructions on every task. You should be able to assess a situation, take appropriate action within your authority and communicate when management input is required. What We're Looking For We are keeping the experience requirements flexible because we are interested in finding the right person, not simply the longest résumé.
You should have:
Some experience with Shopify or e-commerce. Experience in fashion, retail, e-commerce, customer service, administration or a similar environment. Strong organisational and time-management skills. Excellent written and verbal communication. Confidence interacting professionally with customers, vendors and business partners. Basic spreadsheet and computer skills. Experience coordinating calendars, appointments or schedules. Strong attention to detail. An interest in fashion and luxury brands. The ability to work independently and manage multiple priorities. A practical, solution-oriented approach to problems. Reliable transportation to and from the Houston office and other scheduled work locations. Experience with fashion inventory, shipping, fulfilment, Shopify reporting or photoshoot scheduling is helpful, but not every skill is required from day one. What Success Looks Like Success in this role will mean: Shopify information and inventory are accurate and up to date. Online and physical inventory are regularly reconciled. Orders are processed accurately and within agreed timelines. Customer enquiries and issues are handled promptly and professionally. Returns and exchanges are properly tracked and resolved. Inventory is organised, secure and presentation-ready. Samples, returns, damaged garments and shoot/fitting inventory are properly accounted for. The Houston office remains organised and professional. Shoots, fittings, appointments and other brand activities are properly scheduled and coordinated. Vendors and external partners are followed up with consistently. Operational issues are identified early rather than becoming last-minute problems. The CEO can rely on you to take ownership of assigned responsibilities without constant supervision. You actively identify opportunities to improve the way the business operates. Hours & Growth The position will initially be approximately 20-25 hours per week, primarily on-site at the Houston office. Working hours and priorities will be agreed based on business needs. Some flexibility may occasionally be required around photoshoots, fittings, shows, deliveries, customer appointments or other time-sensitive brand activities. As the company grows, there is an opportunity for this position to transition into a full-time role with broader responsibility. When the role transitions to full-time, responsibilities, title and compensation will be formally reviewed to reflect the expanded scope of the position. Compensation $28-$32 per hour, depending on experience and capabilities. Compensation and responsibilities may be reviewed as the position develops and the role expands.
