What You'll Do You'll support marketing and administrative efforts by helping prepare proposals, organize information, create content, coordinate materials, and keep firm communications polished and current. Assist with preparing responses to RFPs, RFQs, and other proposal opportunities. Coordinate and maintain proposal materials, including staff resumes, project descriptions, firm qualifications, forms, schedules, and branded templates. Proofread, format, and organize marketing and proposal documents for consistency, accuracy, and professional presentation. Track proposal deadlines, submission requirements, marketing calendars, business development opportunities, and follow-up items. Create, schedule, and post social media content, including project updates, team highlights, firm news, recruiting content, and community involvement. Assist with writing captions, selecting images, creating simple graphics, and updating website content to keep firm information current. Organize and maintain marketing assets, including logos, staff headshots, project photos, templates, graphics, and other branded files. Coordinate conference, career fair, networking, interview, and presentation materials, including brochures, displays, handouts, giveaways, and follow-up lists. Support contact database maintenance, basic marketing tracking, award submissions, project announcements, and firm visibility efforts. Assist with general administrative and office coordination tasks that support day-to-day operations. What Success Looks Like Keeping proposal and marketing materials organized, accurate, and up to date. Supporting deadlines with clear communication, attention to detail, and reliable follow-through. Creating polished content that reflects the firm's brand, work, culture, and values. Helping the office stay organized and prepared for meetings, events, recruiting activities, and client-facing opportunities. What We're Looking For This role is a strong fit for someone who is highly organized, detail-oriented, creative, and comfortable balancing writing, content creation, marketing coordination, and practical office support. An interest in land planning, civil engineering, landscape architecture, or the built environment is a plus. Skills That Will Help You Succeed Strong writing, editing, proofreading, and organizational skills. Comfort with Microsoft Office programs, including Word, Excel, PowerPoint, and Outlook. Ability to manage multiple deadlines, stay organized, and follow through on details. Experience with Canva, Adobe Creative Suite, website platforms, or social media scheduling tools is helpful but not required. Professional, positive, and team-oriented approach to work. Education & Experience Associate's or bachelor's degree in marketing, communications, business administration, public relations, or a related field preferred; equivalent professional experience will also be considered. Entry-level candidates are encouraged to apply; one to three years of related experience is a plus. Experience or interest in professional services, land planning, civil engineering, landscape architecture, or the built environment is helpful.
