They're adding an Relationship Manager/Executive Assistant to the Montevideo office, the firm's operational center, and this role is the connective tissue between the advisor, the clients, and everything that needs to happen before and after every meeting. This role exists to take the client-facing front line off the advisor's and operations manager's plates. You'll be the dependable first point of contact — handling incoming calls, scheduling, and travel coordination — and the person who prepares meeting materials, gets forms ready and signed, and organizes the follow-up after client meetings. The firm runs on well-built workflows, and your job is to learn, own, and reliably execute them keeping the relationship and meeting machinery running smoothly. This is not an administrative job where someone hands you tasks. You'll own your workflows, take initiative during the slower seasons, and be the kind of person who sees something that needs doing and does it. Key Responsibilities Client Service & Scheduling Handle all incoming client calls and meeting scheduling for the principal and firm Prepare meeting forms and ensure appropriate signatures are collected Serve as a visible, welcoming in-person point of contact for the office Workflow & Data Management Maintain and update client data using the firm's CRM and other internal systems Follow detailed operational processes for client onboarding, follow-up, and support Communicate process changes or issues during mandatory weekly meetings Meeting Support & Follow-up Assist with pre-meeting organization and post-meeting documentation using AI summaries Track meeting outcomes, schedule future meetings, and support client-facing preparation Coordinate with the operations manager to ensure smooth handoffs Office & Operational Ownership Take initiative to address outstanding tasks, cleanup, or special projects during slow periods Ensure consistency and accuracy in task execution, minimizing errors Participate in ongoing process improvements and adopt evolving systems/tools as needed Key Traits What We're Looking For Reliability and punctuality with zero tolerance for time mismanagement Strong sense of ownership over assigned workflows Ability to communicate efficiently within a small team Detail-oriented, follows instructions and procedures precisely Proactive in addressing bottlenecks and suggesting process updates Highly Desired (But Not Required) Experience in customer service, healthcare, or high-volume administrative roles Familiarity with CRM, Office 365, or similar workflow tools Comfort with both fast-paced and slower, self-directed work cycles Strong interpersonal skills and ability to build client trust in person Are you a fit?
