Service & Equipment CoordinatorPosition Summary The Service & Equipment Coordinator is responsible for providing administrative and operational support to the Service and Equipment departments. This position helps coordinate construction equipment rentals, supports service department billing and documentation, processes equipment and service-related paperwork, manages submittals, and assists with Accounts Payable (AP) data entry. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced construction environment. This position works closely with the Service Department, Equipment/Rental team, Accounting, vendors, project managers, and field personnel to ensure accurate and timely processing of equipment and service activities. Essential Duties & Responsibilities Equipment & Rental Support Coordinate administrative activities related to construction equipment rentals. Track equipment rentals, returns, transfers, and related documentation. Maintain accurate equipment records, rental information, and supporting paperwork. Assist with rental agreements, purchase orders, invoices, and equipment-related documentation. Communicate with vendors, rental companies, field personnel, and internal departments regarding equipment needs and status. Help monitor rental dates and assist with ensuring equipment is returned, transferred, or extended as needed. Assist with resolving discrepancies related to equipment rentals, invoices, and charges. Service Department Support Provide administrative support to the Service Department and service technicians. Assist with opening, maintaining, and closing service work orders. Gather and organize service tickets, technician time, parts, materials, and other supporting documentation. Assist with reviewing service documentation for accuracy and completeness. Prepare service billing and assist with submitting invoices in a timely manner. Follow up on missing documentation, approvals, or information needed to complete billing. Assist with tracking service-related costs and ensuring charges are properly documented. Accounts Payable Support Assist the Accounting Department with Accounts Payable data entry. Enter vendor invoices accurately and ensure invoices are coded to the appropriate account, project, or department. Match invoices with purchase orders, rental agreements, work orders, and supporting documentation when applicable. Identify and communicate discrepancies or missing information before invoices are processed. Assist with maintaining organized AP records and documentation. Provide support with vendor inquiries related to invoices and payment documentation. General Administrative Responsibilities Maintain accurate and organized records and spreadsheets. Assist with reports, tracking logs, and other administrative duties as needed. Communicate effectively with internal departments, vendors, customers, and field personnel. Assist with process improvements that increase accuracy and efficiency within the Service and Equipment departments. Maintain confidentiality of company, customer, vendor, and financial information. Perform other duties and special projects as assigned. Qualifications High school diploma or equivalent required. 2+ years of administrative, construction, equipment rental, service, accounting, or related experience preferred. Experience working in a construction or equipment-related environment is a plus. Basic understanding of Accounts Payable, invoicing, and billing processes. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Strong written and verbal communication skills. Proficiency with Microsoft Office, particularly Excel and Outlook. Ability to learn and effectively use company-specific software, ERP, accounting, rental, or service management systems. Experience with Quickbooks is recommended. Success in This Position Success in this role requires someone who is organized, dependable, detail-oriented, and proactive . The Service & Equipment Coordinator should be able to keep track of multiple moving parts, identify missing information, follow up with the appropriate people, and ensure that equipment, service billing, submittals, and AP documentation are completed accurately and on time.
Pay:
$25.00 - $30.00 per hour
