KO Pilates

Front Desk & Client Growth Coordinator

Job Description

ABOUT KO PILATES KO
Pilates is a Classical Pilates studio and Authorized Contrology® Center serving the Central Valley. Our teaching lineage traces directly to Joseph Pilates through third-generation teacher Jay Grimes. We deliver authentic, personalized instruction through private sessions, Open Studio, and small-group classes — and we treat every client like family from the moment they walk through the door.
POSITION SUMMARY
This role is the heartbeat of the studio. As the first face clients see and the voice they hear on the phone, you will run a polished front desk, own the client care experience from first visit to milestone celebration, and actively grow the studio through new-client outreach and partnerships throughout the region. You will also help expand our teacher education programs — the KO Pilates Mentorship Academy and the KO Pilates Teacher Training Program. You will also keep Karin's calendar clear and coordinated, and provide administrative support to our sister business, Rich Oliver's Mystery School (ROMS).
KEY RESPONSIBILITIES 1.
Front Desk & Studio Operations Welcome every client — greet clients warmly by name; check in clients and orient new clients to the space. Phone & inquiries — answer the studio line, return voicemails the same business day, and field walk-in questions on classes, pricing, and scheduling. Weekly studio schedule — maintain the master Excel schedule, record daily attendance numbers, catch double-bookings or gaps, and publish by Friday morning. Walla management — keep client accounts, transactions, staff availability, and class enrollments accurate and current. Studio presentation — oversee supplies, props, retail inventory, and cleanliness; flag reorder needs before they become shortages. Forms & materials — keep waivers, health questionnaires, flyers, and new-client gift bag supplies fully stocked; ensure new clients complete forms before their first session. 2. Client Care Client accounts — oversee client status, packages, and records; keep the client tracker accurate as the studio's source of truth. Follow-up — reach out to new, returning, and lapsed clients to keep them engaged and progressing. Milestones & birthdays — track and celebrate client milestones, anniversaries, and birthdays in studio, and log them in Trello for marketing and social content. Trello — keep client and in-studio cards current so the Operations Manager can act without double-checking. Escalation — route billing disputes and instructor concerns to Karin promptly and professionally. 3. Business Development Regional reach — grow KO Pilates' presence well beyond Prather, across the greater Fresno-Clovis area, the Sierra foothill and mountain communities, and the wider Central Valley. New-client growth — convert inquiries into first visits and first visits into ongoing clients, including virtual Private Session and Open Studio clients outside our immediate area. Collaborations & partnerships — identify and cultivate opportunities throughout the region with businesses, physical therapy and medical practices, health and wellness providers, schools, and community organizations; bring qualified opportunities to Karin. Regional visibility — distribute and refresh flyers at approved locations throughout the region, verify flyer accuracy, and track locations covered. Event awareness — watch for health fairs, markets, and community events across the Central Valley and foothills that could showcase KO Pilates. Website — review the website weekly and flag any updates needed. 4. Teacher Education Programs Help grow the KO Pilates Mentorship Academy and the KO Pilates Teacher Training Program as the Central Valley's home base for Classical Pilates teachers. Teacher outreach — identify and connect with Pilates teachers, apprentices, and aspiring instructors across the region, including those who completed virtual training and want consistent in-person mentorship. Program promotion — share Mentorship Academy and Teacher Training brochures, flyers, and announcements through studios, gyms, PT and wellness partners, email, and social channels (in coordination with the Operations Manager). Inquiry follow-up — respond to program inquiries promptly, answer basic questions, and schedule interested teachers for conversations with Karin. Enrollment & administration — manage enrollments, renewals, and program records; keep rosters, forms, and materials current. Meeting & workshop support — coordinate the monthly in-person workshop schedule, room setup and materials, and virtual Q&A sessions on Zoom. Community building — help create a welcoming experience that keeps teachers engaged and returning, and track teacher milestones and testimonials for outreach. 5. Events, Workshops & Scheduling Studio events & workshops — oversee scheduling, announcements, enrollments, setup, day-of presentation, and reset. Karin's calendar — manage Karin's personal and professional schedule to prevent double-booking and protect teaching and training time. Zoom meetings — set up, launch, and support Zoom meetings and virtual sessions from the studio Mac. Axia homeschool program — prepare participant certificates and send associated invoices. 6. ROMS Support (Sister Business) Course photos — edit class photos, upload to OneDrive, and notify the Operations Manager via Trello when ready to send. Course folders — prepare finalized course checklists and folders with student forms for Rich, in coordination with the Operations Manager. Axia invoicing — prepare and send invoices for ROMS Axia certificates. 7. Team Culture & Cross-Training Recognize staff birthdays with a card and small celebration. Cross-train with the Operations Manager on the client tracker, forms, and related workflows to ensure seamless coverage.
WHO YOU ARE
You are welcoming, upbeat, and professional — the kind of person who makes everyone feel at home the moment they walk in. You bring genuine warmth and positive energy to every interaction, balanced with the polish and discretion our clients expect. You take pride in the details, stay calm when the morning gets busy, and love helping people feel cared for.
REQUIRED EXPERIENCE
2+ years in a front desk, reception, client services, or administrative role — ideally in a fitness or wellness studio, spa, medical/PT office, hospitality, or boutique business. 1+ year in sales, membership, client retention, or business development — converting inquiries into clients or building community and referral partnerships. 1+ year coordinating schedules and calendars for a business owner, manager, or executive. Intermediate-to-advanced proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) — including building and maintaining schedules and trackers in Excel. Intermediate-to-advanced proficiency with Google Workspace (Gmail, Google Drive, Google Calendar, Docs, and Sheets). Proficient Mac user with hands-on experience setting up, hosting, and troubleshooting Zoom meetings.
WHAT YOU BRING A
warm, polished, client-first presence — in person and on the phone. A professional casual appearance that reflects the studio's standards. Exceptional organization and follow-through; you notice details others miss. Confidence initiating conversations with prospective clients and community partners. Clear written communication and sound judgment about when to escalate. Reliability and availability for all four weekly shifts. Preferred Experience working in a Pilates, yoga, or boutique fitness studio. Experience with online booking or client management software (Walla, Mindbody, or similar). Experience with Trello or similar project management tools. Experience organizing events or workshops. Basic photo editing skills and familiarity with OneDrive. Personal interest in Pilates, movement, or wellness.
WHY JOIN KO PILATES A
consistent, predictable morning schedule — four days per week. A meaningful role at the center of a respected Classical Pilates studio. Direct mentorship from the studio founder and real ownership of client experience and growth. A close-knit, supportive team culture.
