Local travel and periodic domestic travel with company leadership required About the Role A growing healthcare organization is seeking a highly organized, personable, polished, and dependable Executive Assistant & Community Marketing Coordinator. This is a unique role combining executive assistance, healthcare, in-person marketing, community outreach, relationship development, events, and business travel. The person in this position will work closely with company leadership and regularly travel with leadership to healthcare conferences, business meetings, networking events, dinners, community events, and other professional engagements. We serve families from a wide range of communities and backgrounds. The successful candidate must be someone who can genuinely connect with people, communicate respectfully across different cultures and life experiences, and make families feel welcomed and valued. This is not a traditional desk-based assistant position. We are looking for someone who enjoys meeting people, traveling, building relationships, representing an organization professionally, and being actively involved in the communities we serve. Executive & Travel Responsibilities Work directly with company leadership to coordinate meetings, appointments, events, travel, and business priorities. Travel with leadership to conferences, business meetings, networking events, dinners, and other professional engagements. Coordinate flights, hotels, transportation, reservations, conference registrations, itineraries, and schedules. Help manage schedules and logistics while traveling. Attend healthcare meetings, conference sessions, presentations, and networking events with leadership. Take detailed and organized notes and identify important follow-up items. Track contacts, commitments, decisions, and business opportunities. Help coordinate meetings and introductions with physicians, healthcare executives, health plans, vendors, community organizations, and potential business partners. Prepare meeting materials, presentations, documents, and background information. Conduct research before meetings and conferences. Handle administrative tasks and special projects for leadership. Maintain strict confidentiality regarding business discussions and company information. Occasionally attend meetings or events independently on behalf of leadership. Community Marketing & Outreach Serve as a visible and approachable representative of the organization throughout the community. Build genuine relationships with families and organizations across a broad range of neighborhoods and communities. Represent the organization at health fairs, school events, family events, festivals, healthcare conferences, networking events, and community programs. Conduct regular in-person outreach throughout the Atlanta area. Develop relationships with schools, daycares, community organizations, apartment communities, nonprofits, faith and neighborhood organizations, healthcare organizations, and other trusted community partners. Understand that families may experience different financial, transportation, language, scheduling, insurance, and healthcare-access challenges. Communicate healthcare information in a welcoming, respectful, and easy-to-understand manner. Identify opportunities to reach families who may not be reached effectively through traditional healthcare marketing. Develop trust with community partners rather than approaching outreach as simply distributing marketing materials. Identify new community events, partnerships, sponsorships, and outreach opportunities. Maintain relationships with community contacts and consistently follow up. Bring community feedback and observations back to leadership to help improve outreach efforts. Healthcare Knowledge Previous healthcare exposure is required. Candidates should be comfortable with commonly used healthcare terminology and understand the basics of how patients interact with healthcare organizations. The person does not need to be a clinician, but should understand or quickly become comfortable with concepts including health insurance, Medicaid and commercial coverage, providers, primary care, pediatric care, referrals, provider networks, claims, reimbursement, medical billing, credentialing, prior authorization, patient scheduling, healthcare operations, HIPAA, and common medical terminology. Candidates should be able to participate in a healthcare business meeting or conference presentation, understand the general conversation, take meaningful notes, identify important follow-up items, and communicate those items accurately afterward. Highly organized with exceptional follow-through. Professional and polished when representing the organization. Comfortable traveling closely with company leadership, including overnight and multi-day trips. Comfortable attending professional dinners, receptions, conferences, and networking events. Proactive and able to anticipate needs. Discreet and trustworthy with confidential information. Flexible when schedules or travel plans change. Qualifications Previous healthcare experience or substantial familiarity with healthcare terminology required. Experience working directly with patients, families, or communities from a variety of backgrounds strongly preferred. Experience in a medical practice, hospital, health plan, healthcare company, community health organization, medical sales, healthcare administration, or similar environment preferred. Experience in executive assistance, community outreach, marketing, business development, event coordination, healthcare sales, or a related position preferred. Excellent interpersonal and relationship-building abilities. Excellent verbal and written communication. Strong organizational and time-management skills. Ability to take accurate and useful meeting notes. Valid driver's license and reliable transportation. Ability and willingness to travel domestically. Ability to travel overnight for multiple days when necessary. Availability for occasional evening and weekend events. Comfortable using email, calendars, Microsoft Office, spreadsheets, presentations, and common business applications. What This Position Looks Like One day may involve coordinating leadership's meetings and following up with healthcare business contacts. Another may involve visiting schools, daycares, neighborhood organizations, community events, or healthcare partners throughout Atlanta. The next week may involve traveling to a healthcare conference, managing the itinerary, sitting in on meetings, taking notes during healthcare discussions, meeting industry contacts, attending networking events and dinners, and organizing follow-up activities after returning to Atlanta. We are looking for someone who can comfortably move between very different environments from a healthcare executive meeting or national conference to a neighborhood event where the priority is simply listening to families and earning their trust. The right candidate will become a trusted extension of company leadership and a recognizable, approachable representative of the organization in the communities we serve.
