About Eat and Thrive Now Eat and Thrive Now is a growing nutrition counseling practice serving patients in person throughout Northeast Pennsylvania and at our Cleveland, Ohio office, as well as virtually throughout Pennsylvania, Ohio, and other states where our clinicians are authorized to provide care. Our registered dietitians provide compassionate, evidence-based nutrition care for diabetes, cardiovascular disease, gastrointestinal conditions, weight management, kidney disease, and other health concerns. We are looking for an experienced Healthcare Administrative & Marketing Coordinator who can help us deliver an exceptional patient experience while also helping grow our practice. This is a unique hybrid position combining healthcare administration, patient communication, and relationship development. You will speak with prospective and existing patients, conduct discovery calls, schedule appointments, verify insurance benefits, maintain accurate Electronic Health Record (EHR) records, and help turn interested prospective patients into scheduled patients. You will support our physician and community outreach by developing relationships with healthcare offices, following up with potential referral partners, and helping secure Lunch & Learn opportunities and other meetings. This is not a high-pressure sales position. We are looking for someone who can build trust, listen carefully, communicate value, develop relationships, and confidently guide patients and referral partners toward the next step. What You'll Do Patient Scheduling & Communication Serve as a primary point of contact for prospective and existing patients by phone, email, and other practice communication channels. Schedule and reschedule appointments and maintain accurate clinician schedules. Respond professionally and compassionately to patient questions and concerns. Manage patient communications and administrative follow-up. Help prospective patients understand our services and navigate the process of becoming a patient. Discovery Calls & Patient Conversion Conduct discovery calls with prospective patients who have contacted our practice. Listen carefully to understand their needs, concerns, and barriers to scheduling. Clearly explain our services and how working with a registered dietitian may help. Answer questions and address appropriate concerns without using high-pressure sales tactics. Confidently ask prospective patients to take the next step and schedule an appointment when appropriate. Follow up with warm leads who have expressed interest but have not yet scheduled. Insurance Verification & Healthcare Administration Verify patient insurance benefits and coverage. Accurately document insurance information and communicate benefit information to patients. Register new patients and coordinate intake and onboarding. Maintain accurate patient demographics, insurance information, intake documentation, and administrative records within our EHR/practice management system. Assist with payment information and other front-office administrative processes. Coordinate with our billing team when insurance or claim-related issues require follow-up. Maintain HIPAA compliance and protect patient information. Marketing & Referral Development Conduct professional outreach to physician offices, healthcare organizations, community organizations, and other potential referral partners. Develop relationships with office staff, providers, and community partners. Follow up consistently with existing and prospective referral sources. Help secure Lunch & Learn opportunities, meetings, presentations, and other opportunities for our team to connect with healthcare professionals. Help convert professional relationships into active referral partnerships through consistent, professional follow-up. Coordinate community presentations, health fairs, networking events, and other outreach activities. Maintain organized records of referral contacts, outreach activities, follow-ups, and next steps. Assist with marketing initiatives and distribution of practice materials. What We're Looking For Healthcare Experience Minimum 2 years of experience working in a healthcare, medical office, outpatient practice, or similar clinical setting. Experience with patient scheduling, intake, medical reception, practice administration, or care coordination. Hands-on experience using an EHR or healthcare practice-management system. Working knowledge of HIPAA and handling protected health information. Communication & Relationship Development Warm, professional, and empathetic when communicating with patients. Confident and personable on the phone. Comfortable guiding prospective patients from initial inquiry through scheduling. Comfortable initiating outbound calls to physician offices, patients, and community organizations. Able to build relationships without relying on aggressive or high-pressure sales tactics. Comfortable asking for the next step, whether that means scheduling a patient, arranging a Lunch & Learn, or setting a follow-up conversation. Strong verbal and written communication skills. Organization & Accountability Exceptional attention to detail.

Preferred Qualifications Experience verifying health insurance benefits. Experience with commercial insurance, Medicare, or other healthcare payers. Experience conducting patient intake or prospective-patient calls. Experience with physician referral outreach, healthcare marketing, business development, sales, or community outreach. Familiarity with IntakeQ or similar practice-management/EHR software. Familiarity with the Northeast Pennsylvania healthcare community. Our Core Values

Schedule:
20-30 hours per week, primarily Monday through Friday during business hours. Some in-person work and local healthcare/community outreach will be required.
Compensation:
22.00
  • 28.
