Job Description

Parts Specialist Position Summary The Parts Specialist supports the daily operation of the parts department for a heavy equipment rental company by identifying, sourcing, receiving, stocking, and issuing parts needed for rental fleet maintenance, customer service, and repair operations. This position works closely with service technicians, rental operations, vendors, and customers to ensure the correct parts are available when needed, helping reduce equipment downtime and maintain high levels of operational efficiency and customer satisfaction. Key Responsibilities
  • Assist technicians, rental staff, and customers in identifying and locating the correct parts for heavy equipment, attachments, trucks, trailers, and related rental fleet assets.
  • Research parts using manufacturer catalogs, online systems, diagrams, serial numbers, and vendor resources to verify fit, availability, and pricing.
  • Order parts from approved vendors and manufacturers, track shipments, communicate expected delivery dates, and follow up on backorders or delays.
  • Receive incoming parts, verify quantities and condition, label and stock items in the proper locations, and maintain an organized parts room or warehouse area.
  • Issue parts to technicians and internal departments, record transactions accurately, and ensure proper documentation for work orders, rental fleet repairs, and customer purchases.
  • Monitor inventory levels, assist with cycle counts and physical inventory, report discrepancies, and help maintain appropriate stock levels for commonly used parts and consumables.
  • Process returns, warranty parts, cores, and defective items according to company procedures and vendor requirements.
  • Maintain accurate records in the company's inventory, purchasing, rental, or work order management systems.
  • Support safe and efficient department operations by keeping work areas clean, organized, and compliant with company safety policies.
  • Build positive working relationships with vendors, internal team members, and customers while providing responsive, professional service.
  • Stay current on equipment models, parts updates, vendor programs, and industry product knowledge relevant to heavy equipment rental operations.
  • Perform other related duties as assigned by the Parts Manager or management team. Essential Skills and Qualifications
  • High school diploma or equivalent required; technical training, parts certification, or related coursework preferred.
  • Previous experience in a parts department, equipment rental, construction equipment, agricultural equipment, automotive, truck, diesel, or industrial parts environment preferred.
  • Working knowledge of heavy equipment parts, mechanical systems, hydraulic components, filters, fluids, wear parts, and common repair items is a plus.
  • Ability to read and interpret parts diagrams, equipment manuals, serial number information, invoices, packing slips, and purchase orders.
  • Strong customer service skills with the ability to communicate clearly and professionally with technicians, vendors, customers, and team members.
  • Excellent organizational skills and attention to detail, especially when managing inventory, part numbers, quantities, and work order documentation.
  • Computer proficiency, including experience with inventory systems, parts lookup platforms, email, and basic office software.
  • Ability to prioritize tasks, work in a fast-paced environment, and manage multiple requests while maintaining accuracy.
  • Basic math skills for counting inventory, reviewing invoices, calculating quantities, and processing transactions.
  • Dependable, team-oriented work habits with a commitment to safety, cleanliness, and company procedures.
  • Ability to lift and move parts and materials as required by the position and safely operate material-handling equipment when trained and authorized.
  • Valid driver's license may be required for parts pickup, delivery, or travel between company locations.
  • This position will work at all 3 locations when needed
Pay:
$18.00 - $22.00 per hour Expected hours: 40.0 per week
