Customer Service / Pricing Coordinator Position Summary ECMS Express is expanding its traditional international air and ocean freight forwarding business. We are seeking a Customer Service / Pricing Support professional to support the Pricing Team Lead and provide timely, accurate, and professional service to customers, Sales, Operations, overseas offices, and vendors. This position will support air and ocean import/export regular cargo , including Air Freight, FCL, LCL, Drayage, Transloading, Customs Clearance coordination, Final-Mile Delivery, Amazon FBA, Walmart DC, and other major retailer/brand distribution center shipments. The position will serve as an important communication and coordination point between customers, Sales, Pricing, Operations, overseas offices, carriers, and vendors . Key Responsibilities Support the Pricing Team Lead with daily air and ocean import/export quotation requests. Receive pricing inquiries from customers and Sales and ensure all required shipment information is collected before submitting requests for pricing. Prepare routine quotations using approved rates, templates, and Pricing Team guidelines. Escalate complex, high-value, special-handling, or non-standard pricing requests to the Pricing Team Lead. Communicate with airlines, ocean carriers, trucking/drayage companies, CFS, warehouses, customs brokers, and other vendors to obtain rates and service information. Support pricing for Air Freight, FCL, LCL, Drayage, CFS, Transloading, Warehousing, Inland Transportation, and Final-Mile Delivery . Follow up on outstanding quotations and maintain accurate quote status in the system. Coordinate with Sales and customers regarding routing options, transit time, cargo requirements, and quotation updates. Support shipments involving Amazon FBA, Walmart DC, and other major retailer/brand DC deliveries , including appointment and delivery requirement coordination. Understand basic U.S. import customs clearance requirements and coordinate necessary documentation with customers, Operations, and customs brokers. Have basic working knowledge of AES/EEI export filing procedures and assist in collecting required export information and documents for Operations/Compliance. Review and collect shipping documents, including Commercial Invoice, Packing List, MAWB/HAWB, MBL/HBL, Arrival Notice, Delivery Order, and other required documents . Maintain customer quotation records, carrier/vendor rates, surcharges, routing information, and rate validity dates. Provide shipment and quotation status updates to customers and internal teams in a timely and professional manner. Work closely with the Pricing Team Lead and Operations to ensure quoted solutions are operationally executable and correctly handed over after booking confirmation. Key Targets / KPIs 1. Quote Support Volume Support 20+ quotation requests per business day , depending on shipment complexity and team workload. Ensure 95%+ of quote requests are acknowledged or entered into the pricing workflow within 4 hours during business hours . 2. Quote Turnaround Routine quotations using existing/approved rates: target 4 Hours or less once complete information is received. More complex quotations involving multiple carriers, FCL/LCL, drayage, customs, FBA/Walmart, or special handling: coordinate with the Pricing Lead and provide timely status updates until completion. 3. Quote Accuracy Target 95%+ accuracy for customer information, shipment details, rate validity, routing, and approved quotation components. Minimize quotation corrections caused by data-entry errors, missing surcharges, incorrect shipment information, or expired rates. 4. Customer Response Target 95%+ of customer/Sales inquiries acknowledged within 4 Hours during normal business days. Maintain professional and proactive follow-up on open quotations and shipment-related requests. 5. Quote Follow-Up & Conversion Support Follow up on 100% of priority/open quotations according to Sales/Pricing guidelines. Record customer feedback, lost-quote reasons, target pricing, and competitor information when available. Support the Pricing Lead in tracking Quote Volume, Win Rate, Lost Reasons, Response Time, and Customer Feedback . 6. Documentation & Compliance Support Target 95%+ document completeness before handing shipments to Operations. Identify missing Commercial Invoice, Packing List, AES/EEI information, FBA/DC appointment requirements, or other critical documents before shipment execution. Escalate customs, AES/export compliance, restricted cargo, or other compliance questions to the appropriate Pricing Lead/Operations/Compliance personnel rather than making independent compliance decisions. 7. Rate Database Maintenance Update approved carrier/vendor rates, validity dates, surcharges, and routing information promptly. Monitor upcoming rate expirations and alert the Pricing Team Lead before rates expire. Maintain organized records of quotations and vendor responses for future reference and analysis. Qualifications 8+ years of freight forwarding, logistics customer service, operations, or pricing support experience preferred. Working knowledge of international air and ocean import/export freight . Familiarity with Air Freight, FCL, LCL, Drayage, CFS, Transloading, and Final-Mile Delivery . Amazon FBA, Walmart DC, or major retailer/brand distribution center experience preferred. Basic knowledge of U.S. Customs Clearance and AES/EEI export procedures preferred. Strong communication and customer service skills. Strong attention to detail and ability to handle a high volume of quotations and customer requests. Good Excel/data-entry skills and ability to maintain accurate rate and quotation records. Ability to prioritize urgent requests and work effectively with Sales, Pricing, Operations, overseas offices, customers, and vendors. Role Relationship Customer / Sales Inquiry → Customer Service / Pricing Support → Pricing Team Lead → Carrier / Vendor Comparison & Final Pricing → Customer Confirmation → Operations / Customs / Drayage / Final-Mile Execution The Customer Service / Pricing Support position is responsible for speed, communication, information completeness, routine pricing support, documentation, and follow-up , while the Pricing Team Lead retains responsibility for complex pricing strategy, carrier/vendor selection, rate negotiation, margin control, and final approval of non-standard pricing .
