A warm family in Malibu is seeking a full-time Estate Manager / Personal Assistant, based on-site at their 7,500 sq ft home set on an acre. Hours are typically 9am-5pm, Monday-Friday, with occasional earlier starts or later finishes. This is an ownership role, not a checklist role. You'll run the home like a small operation — managing your own task list in Asana, closing loops without being chased, and communicating proactively with photos, pricing, and recommendations so decisions happen fast. There's no bureaucracy between you and the principal, and you'll get real autonomy in return.
Responsibilities:
You will own home and grounds operations: spot maintenance issues before they become problems and manage the vendors who fix them (pool/spa, landscaping, security and smart-home systems, handyman, specialty trades) Oversee household staff and service providers, including housekeeper, nanny, and the dog's walker/training team Run the family's pet care program (scheduling, grooming, vet visits, training) Light, mostly remote oversight of three additional properties Financial admin alongside the family's bookkeepers and advisors: processing vendor invoices, coordinating simple payments, insurance renewals, and a rental property's permit/tax filings Personal assistance for the principal: calendar management, travel booking, reservations, errands Party planning and organization (roughly 4x/year); occasional travel with the family (under 14 days/year) Selling or donating unneeded items (eBay, consignment, charity) You should be a positive, superbly organized problem solver who enjoys variety and can juggle many simultaneous threads. We run on Asana, 1Password, Google Sheets, and various smart-home apps — you don't need to know them all on day one, but you should be someone who picks up tools quickly. The family has two school-age children and pets, so we're naturally informal. We value an intimate, happy household and staff longevity — we hire people we hope will stay for years.
Compensation:
$110,000-$125,000, commensurate with experience, plus paid time off and 401(k).
