We partner with media companies across the country to produce "best of" contests. This means we work with small and medium-sized businesses to advertise and promote the best of the community in every market we are in. We are looking for a Sales Assist to join our team and help us maintain our "best of" contest data. Position Summary The Sales Assistant provides administrative and operational support to the Sales Department by collecting and verifying contact information, preparing proposals and agreements, supporting event sales, and ensuring all required sales documentation is completed accurately and on time. This position plays a critical role in supporting the sales team, maintaining positive client relationships, and helping drive revenue through exceptional organization and customer service. Essential Duties and Responsibilities Sales Support Collect, research, and verify client contact information. Prepare and distribute sales proposals, presentations, and supporting materials. Coordinate the completion of logo agreements and other required client documentation. Maintain accurate customer information within company databases and CRM systems. Track proposal status and follow up on outstanding documentation. Event Sales Support Assist with the coordination of event sales and client communications. Prepare event-related materials and documentation. Coordinate schedules and deadlines associated with event production. Support internal departments to ensure successful event execution. Respond to customer inquiries regarding events and sales opportunities. Administrative Support Prepare correspondence, reports, spreadsheets, and sales documents. Maintain organized electronic and physical files. Monitor shared email inboxes and respond or route inquiries appropriately. Assist with special projects and departmental initiatives. Perform other administrative duties as assigned. Customer Service Serve as a professional point of contact for clients. Spend the majority of the day making high-volume outbound phone calls to clients and contestants to secure signed NDAs, agreements, and other required documentation. Build positive relationships through timely communication. Resolve routine customer concerns and escalate issues when appropriate. Maintain confidentiality of client and company information.
Qualifications:
Required High school diploma or equivalent. One or more years of administrative, customer service, or sales support experience. Strong organizational and time management skills. Excellent written and verbal communication. Ability to manage multiple priorities while meeting deadlines. Proficiency with Microsoft Office (Word, Excel, Outlook). Strong attention to detail and accuracy. Preferred Associate's degree. Experience supporting a sales team. CRM experience. Event coordination experience. Experience preparing proposals or sales documentation. Knowledge, Skills, and Abilities Excellent organizational skills. Professional customer service skills. Comfortable spending most of the workday on the phone making high-volume outbound calls. Strong proofreading and attention to detail. Ability to prioritize multiple projects. Ability to work independently and collaboratively. Problem-solving and critical thinking skills
