Job Description

Naylor Seed Company Position Summary Join Naylor Seed and help serve farmers and agricultural customers while keeping our sales and office operations running smoothly. Naylor Seed Company is seeking a dependable, organized, and customer-focused Inside Sales & Office Coordinator to join our agricultural team. This is a hands-on position that plays an important role in serving our farmers, growers, dealers, and other agricultural customers while helping keep our daily office and seed operations running smoothly. This position combines agricultural inside sales, customer service, order management, inventory and logistics coordination, invoicing, billing, and general office management . The ideal candidate has previous experience in agriculture, seed, agronomy, crop production, or agribusiness and understands the seasonal demands of the agricultural industry. We are looking for someone who knows how important timely, accurate service is to our customers—especially during planting, harvest, and other busy seasons. Key Responsibilities Agricultural Inside Sales & Customer Service Assist farmers, growers, dealers, and other agricultural customers by phone, email, and in person. Help customers with seed products, product availability, pricing, orders, and general product questions. Develop a working knowledge of Naylor Seed's agricultural seed products and services. Enter and process customer orders accurately and efficiently. Follow up with customers regarding orders, product availability, pickups, deliveries, and other needs. Build strong, long-term relationships with agricultural customers through knowledgeable and dependable service. Work with the sales team to identify customer needs and sales opportunities. Understand and respond to the seasonal nature and time-sensitive needs of agricultural customers. Represent Naylor Seed at occasional agricultural trade shows, industry events, customer meetings, and other company events as needed. Assist with trade show preparation, setup, customer engagement, and follow-up. Occasional local or regional travel may be required. Order, Inventory & Logistics Coordination Coordinate seed and agricultural product orders from initial order through fulfillment. Monitor inventory levels and communicate product availability to customers and team members. Work closely with warehouse, production, sales, and operations staff to ensure orders are accurate and ready on time. Coordinate customer pickups, deliveries, freight, and shipments as needed. Maintain accurate records of orders and inventory. Assist with inventory counts and reconciliation. Help resolve product, order, inventory, or delivery issues quickly and professionally. Help manage increased order volume and changing priorities during busy agricultural seasons. Billing & Invoicing Create and process customer invoices accurately and promptly. Ensure products, quantities, pricing, discounts, and customer information are correct before invoicing. Maintain accurate customer account and transaction records. Assist customers with billing and invoice questions. Help track customer payments and outstanding account information as needed. Work with management and accounting to resolve invoice or account discrepancies. Ensure sales, order, inventory, and billing information is accurately entered into company systems. Office Management & Administration Oversee the day-to-day administrative needs of the office. Answer and direct incoming phone calls, emails, and customer inquiries. Maintain organized customer, sales, inventory, billing, and office records. Assist with paperwork, filing, data entry, and documentation. Help coordinate communication between sales, warehouse, operations, accounting, and management. Maintain an organized and customer-friendly office environment. Provide administrative support to management and other team members. Take ownership of office processes and look for ways to improve organization and efficiency. Qualifications Previous experience in agriculture, seed, agronomy, crop production, or agribusiness is strongly preferred. Familiarity with agricultural products, terminology, and the needs of farmers and growers. Understanding of the seasonal nature of agriculture and the importance of meeting time-sensitive customer needs. Previous experience in inside sales, agricultural customer service, office management, or a related position. Strong communication and relationship-building skills. Excellent organization and attention to detail. Ability to manage multiple customers, orders, and priorities in a fast-paced environment. Experience with invoicing, billing, inventory, and order-management systems. Comfortable using computers and common office software. Ability and willingness to learn Naylor Seed products and make appropriate product recommendations. Dependable, self-motivated, and willing to take initiative. Ability to work independently while also contributing to a team environment. Proficiency with QuickBooks is required , including creating invoices, maintaining customer records, and assisting with basic billing and account functions. Strong working knowledge of Microsoft Excel or similar spreadsheet software , including data entry, maintaining organized records, and working with basic formulas. Comfortable learning and using additional order entry, inventory, and business software. Willingness and ability to attend occasional agricultural trade shows and company events, which may include travel and/or hours outside the normal workday. One minute you may be helping a farmer with a seed order, and the next you may be coordinating inventory, preparing an invoice, scheduling a pickup, or helping solve an order issue. Because agriculture is seasonal, there will be times of the year when things move quickly. We need someone who can stay organized, communicate well, adjust priorities, and work alongside the rest of our team to get the job done. Pay:
$40,000.00 - $55,000.00 per year
