The Sales Coordinator provides essential support to the Sales and Private Events team at Taos Ski Valley by coordinating group sales, weddings, corporate retreats, leisure groups, ski clubs, and internal events. This role supports the sales process from initial inquiry through event execution by managing correspondence, preparing contracts and event documents, organizing event details, coordinating contracted products and services, and delivering professional service to clients and internal teams. The ideal candidate is highly organized, detail-oriented, hospitality-focused, and able to thrive in a fast-paced, relationship-driven environment. Essential Job Responsibilities:
Serve as the primary administrative and coordination support for the Sales team, assisting with group and leisure business from lead intake and contract execution through event planning, fulfillment, closing, and post-event auditing.
Maintain and update the Group Sales Master Calendar ensuring all new and existing group business is up-to-date with current information.
Provide weekly activity and tracking reports to Taos Ski Valley departments and department heads.
Monitor and manage sales email and voicemail inboxes for corporate, wedding, and social group sales; forward new inquiries, leads, and coordinate introductions to the appropriate Sales Manager.
Maintain and update sales materials and information for prospective leads and existing group business, including menus, activity vouchers, sales collateral, and related resources.
Organize and maintain historical and new contracts.
Communicate professionally with clients, wholesalers, travel advisors, and other sales contacts to coordinate reservation and event details in applicable transaction systems.
Support managers with RFPs, proposals, contracts, BEOs, and meeting arrangements.
Assist the Private Events Manager with planning requests, coordinating with clients on group room blocks and contracted timelines, and supporting event execution.
Audit billing summaries for accuracy and manage client communications to ensure adherence to payment schedules.
Utilize key technology tools, including iVvy (CRM), Microsoft Office, Teams, Siriusware, Inntopia, Beanworks, and SMS (Springer Miller Systems, PMS).Coordinate/conduct site tours and property visits for prospective and contracted clients, showcasing venues, amenities, and services while addressing questions and supporting the sales process.

Qualifications/Knowledge:
Completion of a college or technical degree, preferably in Hospitality or Event Management.
Proficiency in Microsoft Office Suite.
Flexibility to work weekends, holidays, and evenings as needed.
Experience using key technology tools and transaction systems such as iVvvy, Siriusware, Inntopia, and SMS preferred.
Work Environment:
Taos Ski Valley, Inc. is often a fast-paced work environment, especially during Holiday and Peak days. TSVI is located in a high-altitude alpine environment. Position may require travel on uneven, snow-packed, or icy terrain and may be exposed to wet, cold, and/or humid conditions. Must be able to work in close quarters and with other staff.
Physical Demands of Position Include:
This job can require the potential of heavy-lifting as part of the role. Candidates can expected to pick up Items weighing up to 50lbs. Standing for long periods of time is another part of this role. Long hours and working at various times of the day and evening can be expecting.
