Lodge Sales Coordinator

Job Description The Sales Coordinator supports the sales and execution of group, corporate, catering, and event business for the Lodge and Banquet operations. This position is responsible for developing client relationships, generating new business, coordinating event details, preparing contracts and proposals, and working with internal departments to ensure successful events and exceptional guest experiences. The ideal candidate is highly organized, self-motivated, professional, and comfortable managing multiple clients, events, and deadlines in a fast-paced hospitality environment. Responsibilities Generate new group, corporate, catering, and event business through networking, cold calling, referrals, community events, trade shows, and other sales activities. Build and maintain strong relationships with new and existing clients to encourage repeat business and long-term partnerships. Conduct sales calls, client meetings, site tours, property inspections, and post-event follow-up. Work toward established sales and revenue goals and identify opportunities for upgrades, menu enhancements, and additional services. Prepare and maintain contracts, proposals, agreements, and other event documentation. Coordinate event details, including menus, room setups, audiovisual needs, attendance guarantees, timelines, entertainment, and special requests. Communicate event details and client expectations with Lodge, Banquets, Food & Beverage, Front Desk, Housekeeping, Finance, Marketing, and other departments. Monitor event deadlines, deposits, rooming lists, guarantees, payments, and other requirements. Maintain accurate account, contract, and event records and prepare required sales reports and forecasts. Assist with corporate accounts receivable by monitoring balances, payments, and outstanding invoices. Help resolve client concerns and event challenges while maintaining a high level of customer service. Participate in meetings and other activities that support successful event operations and sales growth. Qualifications 2+ years of hotel sales, group sales, catering sales, event sales, or related hospitality experience preferred. Associate degree or two-year certificate preferred, or an equivalent combination of education, training, and experience. Experience preparing, reviewing, and negotiating contracts and proposals preferred. Experience with Opera Cloud or a similar property management system preferred. Proficiency with Microsoft Word, Excel, Outlook, and other business systems. Excellent communication, organization, customer service, negotiation, and relationship-building skills. Strong attention to detail and the ability to manage multiple priorities and deadlines. Self-motivated, proactive, professional, and results-oriented. Strong problem-solving skills and the ability to adapt to changing client and operational needs. Ability to work effectively with clients, guests, coworkers, leadership, and outside business partners. Must obtain and maintain all required licenses and certifications and meet applicable gaming employment requirements. Food Handler's Card required. A valid driver's license is required if driving is part of the position. Schedule Typically, Monday through Friday, with flexibility to work evenings, weekends, and holidays as needed to support events and operational needs. Physical Requirements This position requires regular standing, walking, reaching, and communication, and may occasionally require stooping, kneeling, crouching, or crawling. The ability to occasionally lift and move up to 50 pounds is required.
