About the Role We are seeking a detail-oriented and organized Sales Administrator to support our Sales Contracts Manager and sales team. This role plays a critical part in ensuring equipment sales are processed smoothly by gathering documentation, preparing contracts, and maintaining accurate records. You will help keep deals moving forward by ensuring all paperwork is complete, accurate, and submitted on time. This position is ideal for someone who thrives in a fast-paced environment, enjoys working behind the scenes to support a team, and takes pride in accuracy and organization.
Responsibilities / What
You'll Do Collect and verify customer documents (IDs, insurance, signatures, purchase details) Prepare and organize sales contract packets for processing Gather required deal information from Sales Representatives Follow up with customers for missing documentation or signatures Maintain organized electronic and physical sales files Enter customer and deal information into the Dealer Management System (DMS) Coordinate with lenders to collect financing documentation Support the sales team with administrative needs and paperwork Perform data entry and assist with basic reporting Provide backup support to the Sales Contracts Manager during peak times or absences Assist with general administrative tasks to support sales operations Requirements / What We're Looking For High school diploma or equivalent required Strong organizational skills with excellent attention to detail Ability to communicate professionally with customers and internal teams Proficiency in Microsoft Office and willingness to learn internal systems Strong time management skills with the ability to prioritize multiple tasks Ability to handle sensitive customer and financial information with confidentiality Bonus Points Associate's or Bachelor's degree in Business, Accounting, Finance, or related field Previous administrative, office, or dealership experience Experience working with contracts, documentation, or financial paperwork Familiarity with DMS or similar systems Why You'll Love Working Here Family-owned company with a strong, team-oriented culture Stable, professional work environment with clear expectations Opportunities to learn and grow within the organization Competitive benefits package, including: Medical, dental, and vision insurance 401(k) with voluntary employer matching Paid time off and holidays Equipment rental discounts (where applicable) A workplace that values accuracy, teamwork, and doing quality work Work Environment Full-time position Primarily office-based role Collaborative work environment supporting multiple departments Join Our Team If you're organized, dependable, and take pride in supporting a team behind the scenes, we'd love to hear from you.
