Position Summary:

The Sales Admin plays a central role in supporting the Sales Department through quotation management, lead generation, customer coordination, and data tracking, while collaborating closely with Operations and Accounting. This position requires business awareness, proactive communication, and the ability to ensure that customer commitments are executed accurately and efficiently.

Main Responsibilities Quotation & Rate Coordination Prepare and manage quotations for ocean, air, and trucking services based on customer inquiries. Collaborate with the Operations team and overseas agents to obtain updated rates, ensuring competitiveness and accuracy. Analyze pricing trends and provide feedback to the Sales Manager for decision-making. Sales Lead Generation & Management Assist in acquiring and organizing sales leads from multiple sources, including online databases, market research tools, purchased contact lists, and publicly available business information. Verify and categorize leads by industry, shipment type, or trade lane to support targeted sales efforts. Track lead performance, conversion rates, and maintain accurate records in CRM systems. Customer Account Coordination Maintain customer profiles, credit terms, and service agreements. Serve as a communication bridge between clients and internal teams, ensuring smooth information flow. Follow up on quotation results, identify customer needs, and assist in converting leads into bookings. Sales Performance & Reporting Track and record sales activities, quotations, and confirmed shipments in the CRM system (e.g., GoFreight, CargoWise). Generate weekly/monthly performance reports to support management decisions. Support the implementation of sales KPIs and monitor progress. Cross-Department Collaboration Work alongside the Operations team to ensure that customer requirements are clearly communicated and executed — not merely as a support role, but as a partner in customer success. Coordinate with Operations on shipment milestones, while maintaining direct communication with clients when necessary. Communicate with the Accounting team regarding billing accuracy, payment follow-up, and commission settlements. Administrative & Project Support Organize sales meetings, take minutes, and prepare materials for internal and external presentations. Maintain and update customer databases, marketing materials, and internal records. Participate in process improvement projects to enhance efficiency and customer satisfaction. Qualifications Bachelor's degree preferred (Business, Logistics, or International Trade). 1-3 years of relevant experience in freight forwarding or logistics. Strong communication, coordination, and data management skills. Proficient in Excel and CRM systems (e.g., GoFreight, CargoWise). Bilingual ability in English and Mandarin or English and Spanish is preferred. Sales Commission will be applied on top of the salary.
