Position Summary:
The Returns and Warranty Specialist is responsible for supporting daily branch administrative operations with a primary focus on product returns, customer credits, warranty administration and related vendor claims. This position reviews and processes product returns in accordance with company policies, assists the Warranty Administrator with warranty claims and part repairs across multiple branch locations, maintains accurate documentation and works closely with suppliers, sales, branches and customers to ensure timely and accurate resolution of returns and warranty issues. This position requires strong attention to detail, organization, follow-through, problem-solving skills, and the ability to manage multiple transactions and priorities simultaneously.
Roles and Responsibilities:
Return Processing and Credit Review Reviews Credit Slips to determine whether returned products are eligible to receive credit. Researches customer purchase history using INFOR/SXe Order Inquiry and Product inquiry functions. Determines applicable restocking fees and documents supporting information. Processes approved returns and credits accurately and maintains required documentation. Communicates with branch personnel and sales teams regarding return eligibility, denied returns and credits. Escalates incomplete or questionable returns to Branch Administration as needed. Accurately enters and maintains return transactions in INFOR/ SXe. Warranty & Part Repair Support Assists the Warranty Administrator with warranty claims and part repairs. Assists with processing warranty claims for all branch locations. Reviews and investigates claim information to ensure required documentation and supplier requirements are met. Coordinates with suppliers regarding warranty claims, repairs, credits and claim status. Maintains strong working relationships with suppliers to support timely claim resolution. Maintains accurate records of warranty claims, tool repairs, invoices, credits and related documentation. Tracks outstanding claims and tool repairs and follows up as needed. Communicates denied warranty claims and supporting reasons to the appropriate Territory Manager. Provides backup support for the Warranty Administrator as needed. Operational Support Collaborates with warehouse, sales and branch leadership teams to ensure timely processing of returns and customer requests. Assists in maintaining efficient workflow and communication between departments. Supports continuous improvement initiatives related to return processing accuracy and operational efficiency. Adheres to all company policies, procedures and safety standards. Performs additional duties and special projects as assigned.
Qualifications and Preferred Skills:
Strong attention to detail and ability to accurately review and analyze transactional data. Excellent organizational and multitasking skills. Strong customer service and communication abilities. Ability to investigate and resolve issues independently and professionally. Proficiency with computer systems including INFOR/SXe and Microsoft Office. Ability to work effectively in a fast-paced, team-oriented environment. Knowledge of return processing, warranty administration, or distribution operations preferred. Strong problem-solving and analytical skills.
Education and Experience:
High School diploma or equivalent required; associate or bachelor's degree preferred. Previous experience in administration, customer service, warranty administration, returns processing or distribution operations preferred. Experience using ERP or inventory management systems strongly preferred. Physical Requirements Ability to walk, stand and climb as needed throughout the workday. Ability to lift and carry heavy items as required. Exposure to indoor office settings as well as warehouse and outdoor environments, including work around machinery and moving vehicles. Prolonged periods of computer work, sitting and administrative tasks. Occasionally exposed to loud sounds and distracting noise levels in the branch environment.
