This role combines event production, administrative coordination, and onsite execution. The Assistant Producer manages day-to-day planning with the CEO's input, keeps the CEO informed so they can maintain strong client relationships, and takes ownership of every detail through an event's completion. Our ideal candidate is someone we can trust to work independently, represent our company onsite, uphold our design standards, and manage smaller events with appropriate oversight. They follow through on commitments, recognize when they need guidance, and ask for help before a problem affects the client or event. Responsibilities Event Planning and Coordination Partner with the CEO to understand each program's goals, scope, creative direction, budget, and client expectations. Lead the detailed planning and coordination of assigned events, from initial preparation through onsite execution and final closeout. Develop and maintain timelines, production schedules, checklists, vendor arrangements, and other planning documents. Coordinate vendors, venues, suppliers, and internal team members to keep responsibilities and deadlines clear. Track costs, deadlines, changes, and outstanding decisions; bring concerns to the CEO with proposed solutions. Independently produce smaller events and projects within agreed expectations, budgets, and approval guidelines. CEO Communication and Support Keep the CEO consistently informed about progress, upcoming decisions, client needs, and potential concerns. Prepare clear updates and accurate information so the CEO can communicate confidently with clients. Incorporate the CEO's input into planning and execution, and confirm approval when decisions affect scope, budget, or creative direction. Anticipate needs, follow up on open items, and ensure important details do not fall through the cracks. Administrative and Detail Management Prepare, organize, and maintain accurate event paperwork, including schedules, vendor information, orders, budgets, invoices, and project records. Review documents carefully for accuracy, completeness, and consistency. Keep project files current and accessible throughout the planning process. Complete post-event paperwork, expense reconciliation, vendor follow-up, and other closeout responsibilities promptly. Onsite Production and Design Execution Travel to event locations and work as part of the onsite production team. Help oversee setup, installation, event operations, breakdown, and final closeout. Execute approved designs with care, ensuring that placement, presentation, and finishing details meet company standards. Direct vendors and coordinate team members as assigned. Respond calmly to changing circumstances, resolve issues within your authority, and escalate concerns when needed. Remain onsite through completion of assigned production and breakdown responsibilities, ensuring a thorough handoff and closeout. Qualifications and Skills Experience in event planning, event production, project coordination, or a similarly detailed administrative role. Exceptional attention to detail and strong organizational skills. Ability to manage multiple priorities, meet deadlines, and maintain accurate records. Strong written and verbal communication skills, including the ability to provide concise, useful updates. Sound judgment and the ability to work independently while recognizing when to seek input or assistance. A strong visual eye and the ability to translate approved design plans into polished onsite execution. Confidence working with vendors, clients, and production teams. Comfort using spreadsheets, shared documents, calendars, and project management tools. Willingness and ability to travel and work event schedules, including evenings and weekends as required. What Success Looks Like Success in this role means events are thoroughly planned, paperwork is accurate and complete, and the CEO has the information needed to stay connected with clients. Onsite execution reflects the approved vision, issues are addressed early, and every project receives careful follow-through from the first planning conversation to the final closeout. We are looking for a dependable, resourceful professional who takes pride in their work, owns the details, and sees every event through to completion.
