Job Description

Helena College University of Montana a comprehensive two-year college, provides access to and support of high quality lifelong educational opportunities for our diverse community. Helena College is seeking qualified applicants who wish to become part of a dynamic and creative team for a full-time position as an Academic and Career Support Coordinator . The Academic and Career Support Coordinator ("Coordinator") is an essential position at Helena College. The coordinator implements academic and career support functions for the College by delivering academic coaching, managing the tutoring staff, and coordinating career support for all degree areas at the College. Reporting directly to the Director of the Library Learning Hub, this position requires a dedicated leader to collaborate with across multiple departments within the College. It is fully integrated and responsible for the day-to-day management of all Learning Hub activities related to academic and career support services for students across Helena College receiving instruction both onsite and online. This requires seamless organization with Helena College faculty and staff to develop and implement academic and career services programming. The mission of the Helena College Library Learning Hub is to enable student success in the programs and degrees offered at the college. Professional librarians, along with the Academic Coach and Tutor Coordinator, will achieve this mission by collaborating with faculty and the library community in the selection, purchase, and creation of information resources and services; and by providing tutoring, academic coaching, and information literacy instruction targeted to the curriculum. The Library Learning Hub exists as a learning community and quiet place of study and inquiry fostering the concepts of lifelong learning, intellectual freedom, and cultural enrichment.
Key responsibilities include:
    Academic Support:
    Manage the hiring, training, and supervision of tutors and provide one-on-one academic coaching for all degree areas of the College
      Career Support:
      Develop career services programming and assisting students in securing internships and work-based learning opportunities across all degree areas of the College
        Faculty Collaboration:
        Partner with instructors to develop effective academic support closely aligned with course offerings and targeted delivery in all degree areas of the College
          Student Engagement:
          Design and deliver academic and career skills workshops while ensuring high-quality student service within the Learning Hub
            Continuous Program Improvement:
            Track and analyze data to identify areas for program enhancement These functions will be completed on-site with a presence at both Helena College campuses. Complete duties and responsibilities to this position are listed below:
            Academic Services:
            Responsible for individualized support in the areas of time management, personalized learning, and study strategies to serve each student in all degree areas at Helena College.
            • Remain informed of current research and theory regarding best practices of learning and study
            • Provide individual academic coaching to interested students in collaboration with faculty, advisors, staff and partners within the College community
            • Coordinate with Financial Aid to develop academic recovery plans and provide ongoing accountability for students in reinstatement status
            • Coordinate with the Registrar to address the needs of students in Academic Referral, Warning, and Reinstatement statuses.
            • Proactively engage with students to offer individualized support and encouragement
            • Develop and conduct workshops for students on topics to support academic success which may include but are not limited to time-management skills and study strategies
            • Identify and implement innovative methods to encourage student success
            • Attend class sessions with faculty consent to determine how best to maximize student potential.
            • Contribute to student retention and program completion.
            Tutor Services:
            Responsible for the design, implementation, delivery, and assessment of tutoring services to serve each student in all degree areas Helena College
            • Create and maintain a certified on-campus and online tutor training program
            • Remain informed of the College of Reading and Learning's International Tutor Training Program Certification (CRLA ITTPC) standards and ensure current program certification
            • Hire, supervise, and train tutors to
            CRLA ITTPC
            standards in coordination with Director of Library Learning Hub
            • Administer scheduling platform to provide tutor information, schedule appointments, and track usage
            • Develop and maintain embedded tutoring and facilitated study groups each semester
            • Communicate regularly with faculty and tutors to meet the needs of students
            • Administer the use of an online tutoring program through a third party platform.
            • Track usage data among course areas and specific tutors to identify emerging trends
            • Promote awareness of the benefits of tutoring and academic support services offered each semester to faculty and students
            Career Services:
            Responsible for collaborating with other College staff in the design, implementation, delivery, and assessment of career services to serve each student in all degree areas at Helena College
            • Provide, monitor, and report on individual career, internship, and job placement services to interested students through available digital platforms
            • Collaborate with faculty, advisors, staff and partners to identify internship, mentorship, and work-based learning opportunities for students and, in coordination with faculty, connect interested to students to available opportunities
            • Develop and conduct workshops for students on topics related to career preparation and success which may include workplace professionalism, resumes and interviews, and effective communications.
            • Collaborate with Library Learning Hub staff on identification and acquisition of physical and electronic career services materials for placement in Library Learning Hub Collection.
            • Collaborate with faculty and staff to create high impact experiences for students in areas of career readiness. Other Areas of Responsibility
            • Collaborate in developing and implementing workshops for new students
            • Represent the Library Learning Hub on various College committees and groups
            • Assist with orientation and other student support programs as needed
            • Serve as a substitute at the LLH service desk when needed Management and Supervision of Others This position serves as the first line supervisor of part-time temporary tutors by managing the recruitment, hiring, training, and retention of quality tutors to serve students in multiple degree areas.
            The position advertises, interviews, and onboards each tutor for each academic period. The position schedules tutors, coordinates with faculty on embedding tutors, monitors tutor usage, reviews tutoring engagement reports, evaluates tutor performance and identifies methods to maximize budget resources to best meet student tutoring needs.
            • Post secondary degree in a field with curriculum related to duties of the position; or
            • Demonstrated equivalent combination of education and experience Preferred Qualifications Education, Experience, Knowledge, Skills, and/or Abilities The following attributes are considered highly preferable for this position:
            • Experience working specifically with post-secondary educational programs
            Work Schedule:
            Full-time, 1.0 FTE (40 Hours a week), On site at Donaldson Campus and Airport Campus 8:30am to 5:30pm with schedule flexibility for Wednesday night programming.
