Job Description

POSITION SUMMARY
The Lead Case Manager Aid provides administrative, operational and supervision to 5 Youth Care Workers. Assists in the coordination, and quality-assurance support to the Lead Case Manager within A Greater Love Foster Family Agency's Office of Refugee Resettlement (ORR) Transitional Foster Care (TFC) Program. The position supports the timely and organized delivery of case management services for Unaccompanied Children (UC), while helping ensure documentation, communication, and case workflows remain consistent with ORR requirements, California licensing standards, agency policies, and supervisory directives. Additionally, it supervises and coordinates the work of the agency's Youth Care Workers. The Lead Case Manager Aid works closely with the Lead Case Manager and Case Managers to monitor case-related deadlines, organize records, track required activities, coordinate communication with Resource Families and multidisciplinary partners, and prepare materials for case staffing, monitoring, audits, and reporting. The position supports case management functions but does not independently perform duties that require professional clinical judgment, formal assessment, release recommendation, or supervisory authority unless separately qualified and specifically authorized by the agency.
ESSENTIAL FUNCTIONS
The essential functions of this position include, but are not limited to: Lead Case Manager Support Provide day-to-day administrative and operational support to the Lead Case Manager. Assist with tracking case management timelines, required contacts, service activities, case staffing, reunification activities, and documentation deadlines. Maintain case tracking tools and follow up with assigned staff regarding outstanding documentation or required actions. Prepare agendas, case lists, reports, supporting documents, and follow-up items for supervisory and multidisciplinary meetings. Assist the Lead Case Manager with preparation for ORR monitoring, licensing reviews, internal audits, and quality-assurance activities. Immediately elevate overdue requirements, safety concerns, placement concerns, documentation deficiencies, or other significant case issues to the Lead Case Manager. Supervises the work flow of the Youth Care Workers. Case Coordination and Administrative Support Support Case Managers with organizing case records and coordinating routine case-related activities from admission through discharge or reunification. Assist with scheduling child contacts, home visits, appointments, case staffing meetings, legal services, transportation, and other required services. Track referrals and service coordination with medical, behavioral health, educational, legal, and community providers. Assist with routine communication and follow-up with Resource Families, service providers, sponsors, legal representatives, and authorized stakeholders, as directed by the Case Manager or Lead Case Manager. Support transition, transfer, reunification, and discharge preparation by assembling required documentation and tracking completion of assigned tasks. Provide logistical support during emergencies, placement disruptions, and critical incidents and promptly communicate relevant information to the Lead Case Manager. Documentation and Quality Assurance Review case files for administrative completeness, required signatures, dates, forms, and supporting documentation. Assist in monitoring timely completion of case notes, child and Resource Family contacts, home visit documentation, referrals, service plans, sponsor documentation, transition plans, incident documentation, case staffing records, monthly reports, and other required records. Maintain objective and accurate tracking logs and quality-assurance checklists. Identify missing, incomplete, inconsistent, or overdue documentation and refer concerns to the appropriate Case Manager and Lead Case Manager for correction. Assist with data entry and maintenance of approved ORR and agency information systems in accordance with assigned access and responsibilities. Protect confidential information and follow all applicable privacy, records-management, and information-security requirements. Maintain confidentiality and safeguard protected information. Maintain professional boundaries and exercise sound judgment. Follow lawful supervisory direction and established agency policies and procedures. Maintain positive working relationships with children, Resource Families, coworkers, ORR representatives, and community partners. Demonstrate reliability, organization, accountability, and attention to detail. Immediately report safety, compliance, or ethical concerns through appropriate supervisory channels.
MINIMUM QUALIFICATIONS
Education Bachelor's degree from an accredited college or university in Social Work, Human Services, Psychology, Behavioral Sciences or Child Development. Experience Two years of experience in child welfare, foster care, case management support, social services, ORR programs, or a related human-services setting preferred. Experience with documentation tracking, quality assurance, case coordination, or administrative support in a compliance-driven program preferred. Prior lead, mentoring, or supervisory support experience is preferred but not required unless assigned supervisory duties. Licenses and Certifications Valid California Driver License. Reliable transportation and proof of automobile insurance. CPR and First Aid Certification, or ability to obtain as required. Successful DOJ/FBI fingerprint clearance and other applicable child abuse registry/clearance requirements. Successful ORR suitability determination and completion of all required background screening.
KNOWLEDGE, SKILLS, AND ABILITIES
Working knowledge of child welfare, foster care, trauma-informed care, and culturally responsive practice. Ability to learn and apply ORR UC Program requirements, California Community Care Licensing requirements, California Interim Licensing Standards (ILS), Title 22 requirements, and agency policies applicable to assigned duties. Strong organizational, time-management, documentation, and follow-up skills. Strong written and verbal communication skills. Ability to manage multiple priorities and deadlines in a fast-paced environment. Ability to maintain accurate records and recognize documentation or compliance concerns. Ability to work collaboratively while understanding the limits of the position's authority and scope.
WORKING CONDITIONS
Frequent computer, telephone, documentation, and records-management activities. Travel throughout assigned service areas and participation in home, community, or program visits as assigned. Driving during daytime or evening hours when required. Exposure to stressful and unpredictable situations associated with child welfare services. Availability for after-hours or emergency assignments when required by program operations. Physical activities may include sitting, standing, walking, bending, reaching, and lifting up to 25 pounds.

Pay:
$30.00 per hour Expected hours: 40.0 per week
