Donor Engagement Coordinator (Part-Time)

Position Summary Charting Careers is seeking a mission-driven, organized, and relationship-oriented professional to serve as our part-time Donor Engagement Coordinator. This position supports the systems, communications, preparation, and follow-through that help Charting Careers build strong and lasting relationships with its donors and prospective supporters. Working closely with the Executive Director and Board Fundraising Committee, the Coordinator will organize donor and prospect information, identify engagement opportunities, prepare background and briefing materials for donor outreach, coordinate timely acknowledgements and stewardship communications, and track necessary follow-up. The Executive Director will continue to lead Charting Careers' overall fundraising strategy, donor meetings, major donor relationships, and solicitation efforts. The Coordinator will help ensure that the Executive Director and board members are well prepared for donor engagement and that donors receive thoughtful, consistent communication before and after those interactions. Position Goals The Donor Engagement Coordinator will work with the Executive Director and Board Fundraising Committee to: Ensure donors receive timely, meaningful, and personalized appreciation and communication. Organize donor and prospective donor information so the Executive Director and board members can prioritize and prepare for outreach. Strengthen donor retention by tracking relationships, stewardship activities, and needed follow-up. Support fundraising communications and board-led outreach that keep donors informed, appreciated, and connected to Charting Careers' impact. Key Responsibilities Because this is a limited-hours position, responsibilities will be prioritized in collaboration with the Executive Director. The Coordinator's primary focus will be personalized donor stewardship, donor and prospect relationship tracking, preparation for outreach, fundraising communications, and timely follow-through. Larger events, campaigns, and special projects will be undertaken as time and organizational priorities allow. Donor Stewardship & Communications Review gift and donor information provided through the organization's established donation-tracking process to identify appropriate stewardship and follow-up opportunities. Coordinate personalized thank-you communications beyond the automated acknowledgements generated through the organization's donor management system. Maintain a donor stewardship calendar and help plan meaningful, personalized communications with donors throughout the year. Draft targeted emails, thank-you messages, impact updates, and other special communications for individual donors and donor groups. Coordinate opportunities for the Executive Director, board members, staff members, and scholars, when appropriate, to send handwritten notes or make thank-you calls. Assist with donor recognition and appreciation activities. Gather stories, photographs, program updates, and outcomes from staff to help donors understand the impact of their generosity. Track stewardship activities and help ensure that agreed-upon follow-up is completed. Donor Research, Preparation & Follow-Through Research and organize information about current and prospective individual, corporate, and foundation supporters. Help categorize and prioritize donors and prospects based on their interests, giving history, engagement, relationships, and potential connection to Charting Careers. Identify prospective donors and engagement opportunities for consideration by the Executive Director. Prepare concise background information, talking points, and briefing materials for donor meetings and outreach led by the Executive Director or designated board members. Assist with scheduling and logistics for donor meetings, coffees, site visits, tours, and small cultivation gatherings. Draft follow-up communications and track next steps following donor meetings and outreach. Maintain a donor and prospect pipeline that identifies each relationship's stage, primary relationship-holder, next action, and follow-up date. Support annual appeals, campaigns, and other donor engagement initiatives under the direction of the Executive Director. Donor Relationship Tracking Maintain accurate records of donor and prospect relationships, including interests, meetings, communications, stewardship activities, and planned follow-up. Update donor and prospect records following outreach by the Executive Director, board members, and other designated representatives. Maintain follow-up reminders and track agreed-upon next steps. Generate or help prepare donor reports, mailing lists, outreach lists, and other fundraising information as requested. Coordinate with the staff member responsible for gift entry and donation administration to ensure donor relationship records reflect accurate giving information. Protect the confidentiality and security of donor and prospect information. Board Fundraising Support Provide coordination support to the Executive Director and Board Fundraising Committee. Help prepare donor and prospect information, outreach lists, draft communications, and stewardship recommendations for committee consideration. Prepare materials to help board members make donor introductions, send personalized emails, write thank-you notes, and make thank-you calls. Track fundraising and stewardship assignments agreed upon by board and committee members and provide timely reminders and follow-up. Record fundraising-related action items and update donor relationship records following board outreach. Help coordinate board participation in fundraising and stewardship activities identified by the Executive Director and Board Fundraising Committee. Organizational Collaboration Collaborate with program and communications staff to gather stories, photographs, program information, and impact data for donor communications. Coordinate donor communications and engagement activities with the organization's broader communications and event plans. Participate in staff meetings and organizational events as appropriate to the position's responsibilities and scheduled hours. Represent Charting Careers professionally and help create a welcoming experience for donors, prospective supporters, volunteers, and community partners. Perform other related duties as assigned to support the organization's donor engagement and stewardship priorities. Role Scope The Executive Director retains primary responsibility for fundraising strategy, major donor relationships, donor meetings and solicitations, and leadership of the Board Fundraising Committee. The Coordinator supports this work through research, organization, preparation, communications, stewardship, and follow-through. Gift entry, donation processing, automated acknowledgements, and annual charitable contribution statements are managed through established organizational systems and designated staff roles. Grant writing and overall organizational communications are not primary responsibilities of this position. Qualifications At least two years of relevant professional experience in nonprofit fundraising, donor relations, communications, relationship management, marketing, event coordination, customer service, or a related field preferred. Experience may include paid employment, internships, or substantial volunteer leadership. Associate's or bachelor's degree preferred, or an equivalent combination of education, training, and relevant experience. Excellent interpersonal and relationship-building skills, with the ability to communicate warmly and professionally with donors, prospective supporters, board members, staff, and community partners. Strong organizational, time-management, and follow-through skills, with exceptional attention to detail. Excellent written and verbal communication skills, including the ability to draft polished, personalized donor communications. Ability to research and organize donor and prospect information and translate it into useful briefing materials and recommended next steps. Ability to work independently within established direction, manage multiple priorities, and use limited work hours effectively. Initiative, adaptability, sound judgment, and a collaborative approach to problem-solving. Ability to maintain confidentiality and handle sensitive donor and organizational information appropriately. Proficiency with Google Workspace and comfort learning donor management systems and other technology platforms. Previous experience with donor stewardship, prospect research, fundraising communications, or donor database systems preferred but not required. Work Environment & Schedule Approximately 10 hours per week with flexible scheduling. Hybrid work environment, including office, remote, and community-based work. Occasional evening and weekend attendance at donor events, fundraising activities, or community events may be required. This position is currently not eligible for employee benefits.
