Position:
Harvard Avenue Christian Church is seeking a Family Ministry Assistant to provide administrative support and organizational leadership for our Children's and Youth Ministries. This is an important behind-the-scenes role that helps our ministry teams stay organized, our volunteers feel supported, and our families experience clear and consistent communication. The Family Ministry Assistant will work closely with the Directors of Children's and Youth Ministries and receive weekly direction from them, while being supervised by the Executive Pastor . We are looking for someone who is organized, dependable, proactive, relational, and excited to support ministry with children, youth, families, and volunteers.
What You'll Do:
Children's Ministry Schedule monthly volunteers through Planning Center Prepare and distribute a weekly parent newsletter Prepare classroom communication, including rosters, policies, and procedures Schedule and coordinate the childcare team Maintain accurate and up-to-date family and child information in Planning Center Assist with weekly lesson, supply, and craft preparation Help maintain clean, organized, and welcoming classrooms Assist with planning, preparation, and setup for special events Assist with volunteer trainings and team meetings Track and manage volunteer background checks, Ministry Safe Training, and Safe Church Policy signatures Youth Ministry Assist with weekly communication, including scheduled texts and email newsletters Help prepare for Wednesday evening programming Create presentation slides using ProPresenter Coordinate dinner and help prepare activities, supplies, and handouts Maintain accurate and up-to-date family information in Planning Center Assist with planning, preparation, and setup for special events Assist with volunteer trainings and team meetings Track registrations, waivers, and payments for events, mission trips, and other youth activities Track and manage volunteer background checks, Ministry Safe Training, and Safe Church Policy signatures
What We're Looking For:
The ideal candidate is someone who: Is at least 18 years old Is highly organized and able to manage multiple tasks and deadlines Is a self-starter who can work independently while also collaborating with a team Has strong attention to detail Has excellent communication and relational skills Has prior administrative or organizational experience (preferred) Has experience with data management and maintaining accurate records Is comfortable learning and using technology and organizational platforms Can learn or has experience with tools such as Planning Center, Canva, ProPresenter, Constant Contact, Flocknote, and Microsoft Office Enjoys working with people and supporting volunteers Is comfortable working in a progressive Christian nonprofit environment Is committed to creating a safe, welcoming, and inclusive environment for children, youth, families, and volunteers
Schedule:
The typical schedule is Monday-Thursday, 10:00 a.m.-3:00 p.m. (20 hours per week). Some evening or weekend hours may occasionally be required for ministry events. These hours will be scheduled in advance whenever possible and, when appropriate, may be arranged within the employee's regular weekly schedule.
