Dean, Professional Studies Position Summary:

The Enrollment Counselor is the primary point of contact for all inquiries and applications for all Associate, Bachelor's, credit-bearing certificates and select non-credit professional education courses and programs in CPS . General responsibilities include proactively recruiting new students for CPS programs by conducting outreach via phone, email, and text messaging, as well as responding to telephone, e-mail, live chat & texting inquiries, application monitoring, and conducting telephone/zoom follow-up and outreach recruitment activities. While providing top-notch customer service, this individual guides applicants through the process of admission and/or enrollment, the collection of all application materials, and reviews applicants' files, assesses qualifications for admission, and makes admission recommendations, with consultation from the Associate Director, Admissions and Senior Director, Admissions as needed. The Enrollment Counselor assists with developing and implementing strategies for recruiting and yielding diverse prospective students. S/he also assists with the application process for visiting students, as well as High School and Pre-College programming.

Other responsibilities include:

assisting in the planning and implementation of open houses, information sessions, student visits, and other recruitment activities; conducting preliminary transcript evaluations; representing the admissions and enrollment teams at various events; assisting with updating the Admissions section of the website; and performing other duties and special projects as assigned by the Associate Director, Admissions. The Enrollment Counselor also oversees the transition of newly admitted students to the academic programs and advising teams to ensure a seamless handoff for initial registration.

Utilizes our Slate CRM to proactively recruit and select high-quality students into CPS degree and certificate programs to reach and/or exceed enrollment targets. Builds relationships with prospective students and applicants by understanding their personal and professional goals, helping them determine whether courses and programs in the portfolio are the right fit, answering questions, making connections, and providing superior service that showcases the Villanova difference and drives enrollment growth; monitors the daily progress of prospective students within the recruitment "funnel" in relation to enrollment goals. Conducts proper follow-up necessary to reach enrollment goals, ensuring follow-up is timely and personal. Communicates effectively and professionally with prospective students via phone, email, online chat, texting, and in person about the application process and program offerings. Facilitates information sessions (virtual/in-person) for various programs within the CPS portfolio. Participates in recruiting events to promote the entire CPS portfolio. Once an application is completed, reviews applicants' files and assesses qualifications for admission to make admission recommendations. Records and tracks admissions application activity; monitors the CPS Admissions Reply form completion process and admission decisions within the CRM system. Collects and helps evaluate preliminary transcript reviews. Represents the College and/or Admissions team at various social, networking, and other internal events. Assists with updating the Admissions section of the website and ensuring publications are up to date. Assists with planning and executing open houses, information sessions, student visits, and other recruitment activities. Follows up with admitted students to answer questions, discuss CPS program differentiators, and encourage enrollment at CPS ; assists with other activities that support student yield as appropriate. Follows up with enrolling students to obtain final transcripts before classes begin. Maintains familiarity with the University catalog, CPS academic programs, and all CPS policies. Participates in service and social functions hosted by CPS and Villanova. Assists in answering phone calls and walk-ins, and guiding students to the appropriate staff. Partners with the Associate Director to deploy ad-hoc Slate mailings, both SMS and email, when needed to drive enrollments and/or engagement with prospects and/or applicants. Performs additional duties and assists with special projects as assigned. Participates in events with CPS on occasional nights and weekends.

Minimum Qualifications:
Formal Education:

Bachelor's degree required

Minimum Work Experience:

Minimum of 2 years of relevant and applicable work experience in a professional environment related to admissions and enrollment.

Specific Job Knowledge:

Demonstrated successful experience in recruitment for the adult population, or relevant sales experience achieving goal metrics. Strong understanding of CPS programs and an exceptional customer service orientation. Ability to build relationships with professionals of all backgrounds. Demonstrated success in recruiting initiatives with a track record of quantifying results. Experience recruiting for campus and online programs. Strong communication skills and a strong brand ambassador. Experience managing projects, deadlines, and priorities. Ability to make decisions in a fast-paced environment and handle multiple priorities across the College's programs.

Work Skills:

Strong organizational, time management, and relationship management skills, with demonstrated ability to work as a team player. Results-oriented, able to anticipate and identify problems and opportunities and take decisive action to proactively address them. Excellent oral and written communication, problem-solving, and decision-making skills. Ability to establish and maintain long-term relationships and to communicate professionally and efficiently within a fast-paced environment. Proficient in all standard computer applications, including Microsoft Office, with extensive proficiency in Word and Excel; general knowledge of office principles and procedures; proficiency in a Customer Relationship Management ( CRM ) database (Slate preferred).

Equipment Knowledge:

Computers and all related programs used by the University.

Salary Posting Information:

This position falls within salaried grade 13 and the range is $52,000-65,100. The final salary will be determined with consideration of several factors including the selected candidate's qualifications, department budget availability, market data, and internal equity.
