Job Description

The Orlando Museum of Art is currently seeking a part-time Visitor Information Specialist and Museum Shop Associate.
Visitor Information Specialist responsibilities are:
Project a friendly and professional atmosphere through appearance and attitude by greeting all visitors, including staff and volunteers, with excellent customer service skills, be well versed in all aspects of the museum to help create an excellent visitor experience, coordinate general admission ticketing system, sell memberships, generate campaign donations, develop onsite membership prospects, perform donor database data entry, and answer emails and phone calls requesting general information about the Museum. Provide an exceptionally welcoming and high standard of visitor service to all visitors, staff and volunteers. Inform visitors about OMA and its current events by interfacing with all departments. Working to specified sales targets and Key Performance Indicators. Proactively secure new museum memberships every week, encourage existing members to renew and upgrade. Proactively secure campaign donations through talking with visitors and members during front desk transactions. Capture membership prospect information through consistently utilizing Guest Directory cards. Promptly answer all phone calls through the front desk. Ensuring that the Museum's financial and cash handling procedures are strictly adhered to in relation to audit and security requirements. Actively participates in the Guest Service Recovery process. Maintain working knowledge of TAM and Raiser's Edge Maintain security by signing in and providing badges for all guests and contracted services personnel; maintain access to the cloak closet for packages, cameras, bags, umbrellas and other objects not permitted in the galleries; augment the security force by staying alert for security and safety problems. Helping at events, exhibition openings, art fairs and other events as necessary Keep Information Desk and surrounding areas, including cloak closet, neat and orderly at all times. Keep information racks filled with appropriate OMA brochures only and program information. Perform clerical duties, including typing, collating, mailing and other tasks suitable for the reception area, as required. Assist with the management of the volunteer sign-in sheet. Work as needed for special events. Other duties as required Museum Shop Associate responsibilities are: Assist with reviewing restock orders and preparing records weekly. Assist with visual merchandising. Assist with data entry. Serve as sales associate in charge of all shop operations on weekends.
Specific Tasks:
Perform opening, closing, and sales functions necessary for operating the shop as outlined in the procedures manual.
Keep accurate daily records:
take and place special orders, and report discrepancies or problems to the Manager in a written memo.
  • Oversee operation of Museum Shop during all hours assigned while Museum is open to the public.
Be aware of the visual appearance of the shop. Fill in product from stock as necessary; straighten merchandise on shelves, dust and clean glass and fixtures when necessary. Be attentive to shop security and provide excellent customer service. Assist with visual merchandising with attention to safety and security. Supervise Volunteers as necessary when they are assigned.
General Tasks:
Attend staff meetings and inter-departmental meetings as required. Assist Manager in locating product to complement the collection and special exhibitions. Assist Manager in developing new products related to the Museum's permanent collection. Become completely familiar with Tam, shop inventory control system, and day-to-day operations of shop. Assist manager with marketing and promotional ideas. Work as needed for special events. Be knowledgeable of the Museum policies, protocol and procedures and promote memberships whenever possible. Serve as a friendly and helpful liaison between the Museum and the public. Other duties as assigned.

Promote and sell memberships to the public while projecting a pleasant, enthusiastic, and thoughtful attitude when interacting with people both in person and by phone. Quickly assimilate, accurately retain, and effectively communicate information. Relate well to individuals from diverse socioeconomic backgrounds and provide excellent customer service. Demonstrate basic math and clerical skills, including filing, collating, and mailing. Possess strong spelling, grammar, and written communication skills. Work effectively and collaboratively with staff, volunteers, vendors, artists, and visitors. Communicate with warmth, professionalism, enthusiasm, and thoughtfulness. Learn quickly and remain organized and effective while working under pressure. Be creative, efficient, motivated, and self-directed. Demonstrate an interest in art and enthusiasm for promoting knowledge and appreciation of art among both adults and children. Working knowledge of Microsoft Word, Microsoft Access, retail operating systems, and design software is desirable. Maintain a professional demeanor and appearance and comply with required uniform standards.
