Position Summary We are seeking a skilled Business Process Automation Specialist to design, build, deploy, and maintain software robots (bots) and automated workflows that streamline key administrative and financial processes. Primary focus areas include staff scheduling, payroll processing, and auditing/compliance functions. Reporting directly to the CFO, this role will analyze existing manual processes, develop reliable automations, and drive improvements in accuracy, efficiency, and compliance—enabling our team to dedicate more time to patient-centered care while strengthening financial and operational controls. Key Responsibilities
- Analyze current scheduling, payroll, and auditing processes to identify automation opportunities and document detailed requirements.
- Design, develop, test, and deploy automation solutions using industry-standard platforms (e.g., UiPath, Automation Anywhere, Microsoft Power Automate, Blue Prism, or similar).
- Automate end-to-end workflows such as: Staff and clinician scheduling (availability matching, shift assignments, conflict resolution, notifications).
- Payroll data collection, validation, calculations, and exception handling.
- Auditing routines (compliance checks, data reconciliation, report generation, exception flagging) .
- Integrate automations with existing systems (scheduling software, payroll/HRIS platforms, EHR or hospice-specific systems, spreadsheets, email, and databases).
- Ensure all solutions meet healthcare data security, privacy, and compliance standards (including HIPAA considerations where applicable).
- Monitor automation performance, handle exceptions, troubleshoot issues, and continuously optimize processes for reliability and efficiency.
- Create clear documentation, process maps, and knowledge-transfer materials.
- Collaborate closely with the CFO, operations, finance, clinical leadership, and IT stakeholders to prioritize projects and measure business impact.
- Provide training and support to end users on interacting with or managing automated processes.
- Stay current with automation best practices, new tools, and healthcare operational/financial needs.
Required Qualifications:
- Bachelor's degree in Computer Science, Information Systems, Business, Finance, or a related field (or equivalent practical experience).
- 2+ years of hands-on experience developing and deploying business process automation or RPA solutions in a professional environment.
- Proficiency with at least one major automation platform (UiPath, Automation Anywhere, Microsoft Power Automate, Blue Prism, or comparable).
- Strong understanding of business process analysis, workflow design, and exception handling.
- Experience working with APIs, databases, Excel/advanced spreadsheets, and common enterprise applications.
- Excellent problem-solving, analytical, and communication skills.
- Ability to work independently while collaborating effectively with non-technical stakeholders, including finance leadership.
- High attention to detail and commitment to data accuracy, process reliability, and financial controls.
Preferred Qualifications:
- Experience automating processes in healthcare, hospice, home health, or other regulated industries.
- Familiarity with payroll systems, workforce scheduling tools, or compliance/auditing workflows.
- Knowledge of HIPAA, data privacy, and security best practices for healthcare environments.
- Experience with Microsoft Power Platform (Power Automate, Power Apps, Power BI) or other low-code/no-code tools.
- Prior work in process improvement methodologies (Lean, Six Sigma) is a plus. Relevant automation or RPA certification(s). Soft Skills & Attributes
