About the Role We're seeking a Private Jet Flight Operations Coordinator to join our growing private aviation team. This role is ideal for someone with exceptional attention to detail, strong communication skills, and the ability to thrive in a fast-paced, client-driven environment. You'll be responsible for managing every aspect of a client's journey — from confirming aircraft availability to ensuring flawless ground arrangements — while delivering a first-class experience that builds loyalty and trust. This position offers flexible working hours, but requires full availability during client travel periods, including evenings, weekends, or holidays when trips are active. The role also offers significant room for growth, with a clear path to develop into a full Sales Executive position with performance-based commissions. Key Responsibilities 1. Flight Coordination Liaise with operators, aircraft owners, and FBOs to confirm aircraft availability, crew schedules, and slots. Monitor flight status to ensure smooth departures, arrivals, and any necessary repositioning. 2. Client Communication Gather and confirm all trip details, including routes, passenger information, baggage, pets, and catering preferences. Serve as the client's main point of contact before, during, and after travel. Provide timely updates and maintain proactive communication throughout the journey. 3. Ground Service Arrangements Coordinate ground transportation, hotel accommodations, catering, and security. Ensure all logistical elements connect seamlessly between air and ground operations. 4. Documentation & Compliance Prepare and manage contracts, itineraries, passenger manifests (PAX lists), payment confirmations, and customs documentation. Verify compliance with international aviation and travel regulations. 5. Emergency & On-Demand Response Handle last-minute changes, weather-related disruptions, or urgent client needs. Deliver swift, effective solutions while maintaining exceptional service standards. 6. Communication & Reporting Maintain clear communication channels between suppliers, crews, and clients. Provide regular reports and feedback to improve operations and enhance client satisfaction. 7. Business Impact Build trust through professionalism and precision. Support company growth by contributing to high conversion rates and repeat business through exceptional client service. Qualifications Prior experience in private aviation, travel coordination, or customer service preferred. Excellent organizational and multitasking skills. Strong written and verbal communication abilities. High level of professionalism, discretion, and attention to detail. Ability to work flexible hours, including nights and weekends as needed. Tech-savvy; familiarity with CRM or scheduling tools is a plus.
