Job Description

Overview We are seeking a dynamic and highly organized Business Assistant to join our team! This vital role offers an exciting opportunity to support daily office operations, streamline administrative processes, and ensure the smooth functioning of our business activities. As a Business Assistant, you will be the backbone of our administrative team, providing exceptional support that keeps our organization running efficiently and effectively. Your proactive approach and excellent communication skills will help foster a productive and welcoming work environment. Duties Manage front desk responsibilities line phone systems with professionalism and courtesy Maintain accurate records through data entry, filing, and bookkeeping. Assist with calendar management and scheduling appointments, meetings, and events using Google Workspace and Microsoft Office tools Provide exceptional customer support via phone, email, and in person, ensuring positive interactions and timely responses Support office management tasks such as supply ordering, organization of files, proofreading documents, and maintaining office cleanliness Handle clerical duties including typing correspondence, proofreading reports, managing incoming and outgoing mail, and organizing digital files Facilitate communication across departments by coordinating meetings, preparing agendas, and managing follow-up tasks with strong organizational skills Experience Prior office experience in administrative or clerical roles is essential; familiarity with office management practices is highly preferred Proven experience with bookkeeping software such as QuickBooks is a plus Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry skills Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are desirable to support diverse client needs and enhance communication within the team Demonstrated phone etiquette and customer service skills to handle inquiries professionally Personal assistant or executive support experience is beneficial for managing calendars and complex scheduling tasks Join us as a Business Assistant to play a key role in maintaining an organized, efficient workplace while developing your professional skills.
