Executive Officer Job Summary We are seeking an organized and proactive Executive Officer to support the administrative, financial, communications, and event coordination operations of our association. Reporting directly to the Board President and Board Treasurer and working under the guidance of the Board of Directors, this role is vital in advancing association goals, maintaining strong member relations, and coordinating signature events. The ideal candidate will excel in executive administrative support, calendar management, internal communication, and organizing events to ensure smooth organizational functioning. Responsibilities Communicate clearly, professionally, and directly with association members, vendors, and the public. Collaborate with the Board President and Board Treasurer on financial management, budgeting oversight, and daily operations. Execute association policies, contracts, and strategic initiatives as directed by the Board of Directors. Plan, coordinate, and execute all Association meetings, special events, and the annual State Convention. Maintain organized organizational records, official correspondence, and administrative files. Manage routine financial tracking, record-keeping, and reporting using QuickBooks Online. Support ongoing membership communication, engagement initiatives, and vendor partnerships. Perform additional administrative and operational duties as requested by the Board. Skills Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook). Hands-on experience with QuickBooks Online. Proven track record in event planning and coordination. Exceptional written and verbal communication skills. High level of organizational ability with meticulous attention to detail. Preferred Qualifications Prior administrative or leadership experience within a non-profit association or member organization. Experience collaborating directly with a Board of Directors. Key Competencies Professional and effective communication skills. Strong organizational discipline and follow-through. Competence in administrative and basic financial support. Event planning and project execution capabilities. Ability to work effectively both independently and in a collaborative team structure.
