12+ months Job Overview We are seeking an organized, proactive, and detail-oriented UAT & Logistics Coordinator to support User Acceptance Testing (UAT) for a major NextGen ERP implementation. In this role, you will manage scheduling, room reservations, AV configuration, catering, defect logging, and on-site testing logistics.
Required Qualifications Education:
Associate's Degree or higher.
Software Mastery:
Advanced proficiency in Microsoft Office (Outlook, Teams, Excel, PowerPoint).
Calendar & Event Logistics:
Strong background managing multiple simultaneous calendars, room reservations, catering, and event spend tracking.
Technical Savvy:
Basic room AV troubleshooting (Wi-Fi connectivity, virtual/in-person meeting setup) and experience logging/tracking technical defects or issues.
Communication:
Exceptional oral and written communication skills across all organizational levels.
Project & Prioritization Skills:
Ability to handle fast-paced, changing priorities, track action items, and manage small projects autonomously.
Key Responsibilities UAT & Testing Support:
Coordinate and schedule User Acceptance Testing sessions; reserve rooms, send invites, log test defects, track participant attendance, and assist testing leads during execution.
Facility & Logistics Coordination:
Configure physical testing rooms, set up basic audio/visual (AV) and Wi-Fi equipment, order food/beverage catering within budget guidelines, and manage equipment/supply orders.
Calendar & Schedule Management:
Balance complex, overlapping calendar demands across multiple cross-functional teams, technical experts, and leadership.
Event & Meeting Planning:
Coordinate team health/development activities, Lunch & Learns, and major all-hands meetings; track attendance and report event metrics.
Documentation & Reporting:
Maintain facility issue logs, develop standard processes and procedures, track project spend, and validate program documentation against quality standards.
Stakeholder Communication:
Draft clear communications, present project updates, and collaborate effectively with Advisors, Senior Project Managers, and Senior Leadership. Medical, dental, and vision insurance are available to qualified candidates who meet eligibility requirements.
