Job Description:
SUMMARY

The Business Operations Analyst plays a critical supporting role in the organization's sales and operational infrastructure. This position is responsible for the accurate and timely entry of customer, order, and transactional data into the company's Customer Relationship Management (CRM) system, maintaining the integrity and completeness of all sales records, and providing administrative support across order fulfillment, processing, and general business operations. This role is essential to the smooth execution of the sales cycle and the reliability of business data used for decision-making.
RESPONSIBILITIESCRM
Data Entry & Management (~40%)Enter customer, prospect, account, and sales activity data into the CRM system accurately and in a timely mannerReview and audit CRM records on a regular basis to identify and correct incomplete, duplicate, or inaccurate dataStandardize data entry formats and maintain consistency across records in accordance with company data governance policiesCollaborate with sales team members to gather missing or updated information and ensure records reflect current account statusGenerate and distribute CRM-based reports to support sales management as requestedEnsure quotes are generated in a timely, accurate, and complete wayEnsure all information is correctly and completely documented in ConnectWise Manage, Connectwise Sell (CPQ), and One NoteOrder Fulfillment & Processing (~35%)Receive, review, and process incoming sales orders via phone, email, or electronic order management systemsEnsure vendor registrations are submitted and maintainedEnsure cost and margins are maximized per vendor promotions and registrationsVerify order details including customer information, product specifications, quantities, pricing, and delivery requirementsCoordinate with warehouse, shipping, or vendor teams to confirm order fulfillment and track delivery statusPrepare invoices, purchase orders, packing slips, and related order documentationMonitor open orders and communicate proactively with customers and internal stakeholders regarding order status, delays, or discrepanciesProcess order changes, cancellations, and returns in accordance with company policyAdministrative Support (~25%)Provide general administrative support to the sales and operations teams, including scheduling, correspondence, and file maintenanceMaintain organized physical and digital filing systems for orders, contracts, and customer recordsAssist with the preparation of sales presentations, proposals, and reports as directedAnswer incoming calls and emails, routing inquiries to the appropriate team memberSupport special projects and process improvement initiatives as assigned by managementProperly and completely create and update information in ConnectWise ManageAssist in execution of sales and marketing strategiesHelp in maintaining and organizing calendars for executives when called uponIdentify and report customer concerns and issues and bring new ideas on how to provide better customer supportMaintain a positive attitude and consistently demonstrate the adherence to IP Consultings mission and values
GENERAL REQUIREMENTS
Required:
Proficiency in CRM software (e.g., Salesforce, HubSpot, Microsoft Dynamics, or similar)Strong data entry skills with a high level of accuracy and attention to detailComputer literacy (Microsoft Word, Excel, Outlook, OneNote, Point)Strong written and verbal communication skillsAbility to prioritize multiple tasks in a fast-paced environmentService orientation and ability to interact professionally with customers and colleaguesStrong organizational skills and follow-through
Preferred:
Familiarity with order fulfillment workflows and supply chain basicsWorking knowledge of order management or ERP systems (e.g., SAP, NetSuite, QuickBooks)Experience with data quality auditing or data hygiene practicesKnowledge of basic invoicing and billing processesAssociates degree in business management or related fieldExperience with ConnectWise or similar CRM is preferred.

Technology skills preferred with firm understanding of hardware and software.

Ability to work well with others under deadline situations and quickly respond to changes in priorities.

Employ problem-solving skills and analysis, and report problems to the Sales Team as needed.
