Our services include fire alarm, fire sprinkler, fire extinguisher, standpipe, emergency lighting, fire door, monitoring, and other fire and life safety services. We are looking for an organized and dependable Purchasing Coordinator to support our field operations by managing material orders, vendor relationships, inventory needs, and purchasing documentation. Position Overview The Purchasing Coordinator will be responsible for helping ensure our technicians and project teams have the correct materials, equipment, and supplies needed to complete jobs efficiently. This position will work closely with technicians, project managers, office staff, and vendors to obtain pricing, place orders, track deliveries, maintain purchasing records, and help control material costs. Experience in the fire protection, construction, plumbing, electrical, HVAC, or another skilled-trade industry is strongly preferred. Key Responsibilities Receive and process material and equipment requests from technicians and project teams. Purchase fire and life safety materials, parts, equipment, tools, and company supplies. Request quotes and pricing from multiple vendors when appropriate. Compare vendor pricing, availability, lead times, and shipping options. Create and maintain purchase orders and purchasing documentation. Track open orders and follow up with vendors regarding delivery dates, backorders, and missing materials. Coordinate material pickups and deliveries with technicians and office staff. Verify that materials received match purchase orders and vendor invoices. Assist with inventory tracking and maintaining appropriate stock levels for commonly used materials. Help identify frequently used materials that should be kept in stock. Maintain organized records of purchases, receipts, vendor quotes, invoices, and order confirmations. Review material costs and identify opportunities for better pricing or vendor terms. Build and maintain professional relationships with suppliers and vendors. Assist Accounting with resolving discrepancies between purchase orders, receipts, and invoices. Communicate immediately when material shortages, delays, or backorders could affect a scheduled job. Assist with returns, exchanges, warranties, and damaged or incorrect materials. Support management with purchasing reports and other operational needs as required. Materials & Equipment Fire alarm systems and components Fire sprinkler systems and fittings Fire extinguishers and related equipment Standpipe systems Emergency and exit lighting Fire doors and related hardware Monitoring and communication equipment Valves, piping, fittings, and specialty components Technician tools and safety equipment Vehicle and warehouse supplies General office and operational supplies Qualifications Previous purchasing, procurement, inventory, warehouse, construction, or administrative experience preferred. Experience in fire protection or another construction/skilled-trade environment is highly preferred. Strong organizational and follow-up skills. Comfortable communicating with vendors, technicians, and management. Ability to manage multiple orders and priorities simultaneously. Strong attention to detail, particularly with quantities, pricing, part numbers, and order information. Basic knowledge of purchase orders, invoices, receipts, and vendor documentation. Comfortable using computers and learning company software. Proficiency with email, Microsoft Office, and/or Google Workspace. Experience with Jobber, QuickBooks, or similar field-service/accounting software is a plus. Ability to work independently while communicating effectively with the team. Pay:
$22.00 - $35.00 per hour Expected hours: 40.0 - 50.0 per week
