Primary Responsibilities:
Purchase Order Management Create, process, and issue purchase orders to support timely procurement of products and materials. Review purchase orders for accuracy, including item descriptions, quantities, pricing, vendor information, and delivery requirements. Ensure purchase orders align with approved budgets, demand forecasts, inventory requirements, and internal purchasing guidelines. Review vendor order acknowledgments and monitor purchase orders through the fulfillment process. Identify and resolve order discrepancies, changes, or delays that may impact product availability. Vendor & Shipment Management Communicate with vendors to obtain and verify pricing, product availability, lead times, and delivery schedules. Monitor purchase orders and shipments to ensure timely delivery of products. Follow up with vendors regarding outstanding orders, shipment status, and expected delivery dates. Communicate potential delays and work with vendors and internal teams to resolve issues affecting product availability. Purchasing Data Management Accurately enter and maintain purchase order details, product information, vendor costs, pricing, and other purchasing data within company systems. Maintain accurate and up-to-date purchasing records to support inventory planning, reporting, and decision-making. Identify and correct data discrepancies to ensure the accuracy of purchasing and inventory information. Sales Trend Analysis Monitor SKU-level sales performance to identify fast-moving, slow-moving, and declining products. Analyze sales trends and demand patterns to support purchasing and replenishment decisions. Identify potential risks, including sudden changes in demand, declining sales, and product lifecycle changes. Provide data-driven recommendations for purchasing adjustments based on sales performance and inventory requirements Inventory Monitoring & Analysis Monitor on-hand inventory levels across warehouses and fulfillment centers. Identify low-stock, overstock, excess, and at-risk inventory. Analyze inventory levels in relation to sales trends, demand forecasts, and replenishment requirements. Recommend purchasing and inventory adjustments to maintain appropriate stock levels and minimize stockouts and excess inventory. Backorder Management Review back-ordered items and prioritize replenishment based on customer demand, sales trends, inventory availability, and business requirements. Monitor vendor lead times and expected delivery dates for back-ordered products. Provide internal teams with updated estimated arrival dates (ETAs) and back-order resolution timelines. Communicate potential supply delays and recommend solutions to minimize customer and operational impact. Reporting & Business Analysis Extract, consolidate, and analyze data from system-generated reports to identify replenishment requirements, purchasing needs, sales trends, and inventory risks. Prepare regular and ad hoc reports to support purchasing and inventory management decisions. Use data analysis to identify trends, exceptions, and opportunities for improving purchasing efficiency and inventory performance.
Strong analytical abilities with a demonstrated capacity to evaluate data, identify issues and develop effective solutions.
Purchasing & Administrative Skills:
Experience with data entry, purchase order processing, order tracking, inventory management, and generating routine reports.
Excel Proficiency:
Strong working knowledge of Microsoft Excel, including formulas, data analysis, and basic macros or scripting to automate processes and improve workflow efficiency.
Communication & Prioritization:
Excellent written and verbal communication skills, with the ability to coordinate effectively with vendors, internal teams, and other stakeholders while managing multiple priorities. Organization & Attention to
Detail:
Highly organized and detail-oriented, with the ability to simultaneously monitor multiple purchase orders, inventory requirements, sales trends, and deadlines while maintaining accurate records.
Relevant Experience:
1-2 years of experience in purchasing, procurement, retail, office administration, or a related field. Bachelor's Degree in Business Administration, Supply Chain Management, Purchasing, or a related business field required.
