Carbon Activated Corporation Position Summary Carbon Activated Corporation is seeking a detail-oriented and proactive Accounting - Procurement Specialist to manage purchasing activities and support the company's supply chain and accounting operations. Working with the controller This position will be responsible for processing purchase orders, coordinating with suppliers, tracking deliveries, maintaining accurate purchasing records, and ensuring materials and services are purchased efficiently and on time. The ideal candidate will have strong organizational and communication skills, experience working with suppliers, and proficiency in SAP Business One. This role will focus on procurement and purchasing, with some time dedicated to accounts payable and administrative support. Key Responsibilities Procurement & Purchasing Create, process, and manage purchase orders in SAP Business One. Request quotations from suppliers and compare pricing, availability, and delivery schedules. Negotiate pricing and purchasing terms with suppliers as appropriate. Coordinate with Operations, Sales, and other departments to identify purchasing requirements. Place orders for materials, equipment, supplies, and services. Monitor outstanding purchase orders and follow up with suppliers to ensure timely delivery. Track order confirmations, shipping schedules, and delivery status. Resolve purchasing discrepancies, including incorrect quantities, pricing differences, and delayed shipments. Maintain accurate supplier information, purchasing records, and supporting documentation. Identify opportunities to reduce purchasing costs and improve procurement efficiency. Assist with supplier evaluations and the identification of alternative vendors. Coordinate with warehouse personnel to verify receipt of purchased materials. Accounts Payable & Administrative Support Review supplier invoices for accuracy and completeness. Match purchase orders, receiving records, and supplier invoices. Enter and process accounts payable transactions in SAP Business One. Coordinate with suppliers and internal departments to resolve invoice discrepancies. Maintain organized vendor records and purchasing documentation. Assist with AP aging reports and payment processing as needed. Support other accounting and administrative duties as assigned. Qualifications Associate degree in Business Administration, Supply Chain Management, Accounting, or a related field preferred; or equivalent relevant work experience. 2-4 years of experience in procurement, purchasing, supply chain coordination, or a related role. Experience creating and managing purchase orders. Experience communicating with suppliers and coordinating deliveries. SAP experience preferred; SAP Business One experience strongly preferred. Proficiency in Microsoft Excel and Microsoft Office. Familiarity with accounts payable processes and purchase order/invoice matching preferred. Experience in a manufacturing, industrial, or distribution environment is a plus. Desired Skills and Traits Strong organizational skills and attention to detail.
