The Purchasing Agent is responsible for supporting the procurement of labor, materials, equipment, and services required for residential construction projects. This role manages the bidding process, prepares purchase orders, maintains vendor relationships, and coordinates purchasing activities to ensure construction projects remain on schedule and within budget. The Purchasing Agent plays an essential role in maintaining accurate purchasing records, supporting cost control initiatives, and ensuring subcontractors and suppliers meet company standards for quality, pricing, and performance.
The ideal candidate is highly organized, detail-oriented, analytical, and capable of managing multiple priorities in a fast-paced residential homebuilding environment. The successful candidate demonstrates strong negotiation skills, sound judgment, and a commitment to delivering cost-effective purchasing solutions while maintaining quality and schedule expectations.| Key Responsibilities Procurement & Purchasing Coordinate the procurement of labor, materials, equipment, and services for residential construction projects. Prepare, issue, and manage Requests for Proposal (RFPs), Requests for Quotation (RFQs), and bid packages for subcontractors and suppliers. Solicit competitive bids and obtain pricing for construction materials, subcontractor trades, and vendor services. Evaluate vendor proposals to ensure pricing, scope of work, qualifications, and schedules meet project requirements. Prepare bid comparison analyses and purchasing recommendations for management review. Issue purchase orders in accordance with approved budgets, project schedules, and company purchasing procedures. Monitor purchasing activities to ensure materials and subcontractors are secured in advance of scheduled construction starts. Resolve purchasing issues that may affect project schedules or budgets. Vendor & Subcontractor Coordination Develop and maintain professional relationships with subcontractors, suppliers, manufacturers, and vendors. Assist with sourcing and onboarding new subcontractors and suppliers to support company growth and project demands. Maintain vendor contact information, pricing agreements, insurance certificates, licensing documentation, and qualification records. Coordinate vendor communications regarding pricing updates, scheduling, deliveries, and scope clarifications. Monitor subcontractor responsiveness and performance throughout project execution. Assist in resolving vendor disputes, pricing discrepancies, and procurement-related issues. Maintain approved vendor and subcontractor databases. Cost Management & Bid Analysis Review bids to ensure completeness, accuracy, and consistency with project plans and specifications. Analyze labor and material costs to support budget objectives and cost control initiatives. Compare vendor pricing and recommend cost-effective purchasing solutions while maintaining quality standards. Assist with updating standard pricing libraries and cost databases. Monitor market pricing trends for construction materials and subcontractor services. Support value engineering initiatives by identifying alternative products, suppliers, and procurement strategies. Assist management with preparing purchasing reports and cost analyses. Purchase Orders & Contract Administration Prepare and issue purchase orders for approved vendors and subcontractors. Verify purchase order accuracy, pricing, quantities, delivery requirements, and scope of work. Assist with preparing subcontract agreements and purchasing documentation. Coordinate purchase order revisions, change orders, and contract modifications as project requirements evolve. Maintain complete and organized purchasing records throughout the project lifecycle. Track purchasing commitments and outstanding purchase orders. Support document retention and purchasing audit requirements. Construction & Project Support Coordinate purchasing activities with Construction Managers to support production schedules. Ensure materials and subcontractors are scheduled to meet planned construction milestones. Communicate with field teams regarding procurement schedules, deliveries, and purchasing updates. Assist in resolving material shortages, delayed deliveries, and vendor scheduling conflicts. Participate in project meetings to identify upcoming procurement needs. Support procurement activities for new community launches, model homes, and production homes. Coordinate purchasing requirements through project closeout. Purchasing Systems & Documentation Maintain purchasing information within ERP, procurement, and construction management systems. Update pricing databases, vendor records, scopes of work, and purchasing templates. Maintain accurate records of bids, contracts, purchase orders, invoices, and vendor correspondence. Generate purchasing reports, procurement logs, and status updates for management. Ensure purchasing documentation remains current, organized, and readily accessible. Support process improvements that enhance purchasing efficiency and reporting accuracy. Compliance & Quality Assurance Ensure purchasing activities comply with company policies and purchasing procedures. Verify subcontractor licensing, insurance, bonding, and qualification documentation before contract execution. Review purchasing documentation for completeness and accuracy. Support internal audits by maintaining organized purchasing records. Assist with ensuring vendor compliance with contractual obligations and company standards. Maintain confidentiality of vendor pricing, purchasing agreements, and procurement information. QualificationsRequired Bachelor's degree in Construction Management, Business Administration, Supply Chain Management, Engineering, or a related field preferred. 2-5 years of purchasing, procurement, estimating, or construction administration experience within a residential homebuilder, construction company, or real estate development organization. Working knowledge of residential construction methods, building materials, subcontractor trades, and purchasing practices. Experience preparing bid packages, evaluating vendor proposals, and issuing purchase orders. Excellent negotiation, communication, and relationship-building abilities. Strong attention to detail, accuracy, and follow-through. Preferred Experience working for a California residential homebuilder or production homebuilder. Familiarity with residential estimating, job costing, and value engineering principles. Experience supporting single-family, townhome, or master-planned community developments. Knowledge of construction ERP platforms such as BuildPro, NewStar, Hyphen, Mark Systems, Sage, or similar purchasing systems.
