This role helps ensure approved equipment and supplies are sourced, received, documented, and deployed accurately and on time. The Equipment & Supply Coordinator plays a key role in supporting new shop openings and ongoing shop operations by coordinating equipment procurement, maintaining accurate asset records, and facilitating the resale or liquidation of equipment no longer needed, while upholding DB Coffee Fresno Inc. culture, values, and service standards. Roles and Responsibilities Responsibilities and essential job functions include but are not limited to the following: Manage the sale and liquidation of retired equipment, including photographing, listing, pricing, communicating with buyers, and coordinating removal. Utilize online marketplaces, auction platforms, and local equipment liquidators to sell used equipment and maximize recovery value. Source equipment options for existing shops, replacements, remodels, and new shop openings based on needs identified by Leadership. Gather and compare vendor quotes, review pricing, and conduct basic vendor negotiations as appropriate to support purchasing decisions. Coordinate approved equipment purchases and track orders, including shipping timelines, delivery dates, backorders, and order status. Verify equipment specifications and quantities to ensure the correct equipment is ordered and received. Develop and maintain the equipment and asset tracking process, including asset tags, serial numbers, purchase dates, equipment age, location, warranty information, and repair history to support future equipment planning and purchasing decisions. Coordinate warranty claims and confirm warranty coverage before repair or replacement expenses are incurred. Coordinate freight, delivery, pickup, and movement of equipment between vendors, warehouses, shops, and buyers. Maintain vendor relationships and assist with pricing discussions, warranties, order issues, and follow-up. Track equipment purchases, pricing, cost savings, and liquidation proceeds and provide reporting to Leadership and Finance as requested. Maintain organized documentation for equipment purchases, sales, warranties, and asset movement. Communicate equipment status, delays, issues, and upcoming needs to Facilities Leadership. Perform other related duties and support Facilities projects as assigned. Qualifications Minimum of 1-3 years of experience in restaurant operations, facilities, purchasing, inventory, equipment distribution, logistics, and/or a related administrative role preferred Familiarity with quick-service restaurant operations and/or commercial food-service equipment strongly preferred Experience gathering quotes, sourcing equipment, tracking orders, coordinating vendors, and maintaining purchasing or inventory records Ability to identify common commercial equipment types, manufacturers, model numbers, and specifications Comfort using online resale marketplaces, auction platforms, eBay, and/or inventory and asset-management systems Basic negotiation skills and ability to communicate professionally with vendors, freight providers, liquidators, and equipment buyers Strong organizational, time-management, follow-through, and recordkeeping skills Ability to manage multiple equipment orders, deadlines, deliveries, and projects while maintaining a high level of accuracy Clear and professional verbal and written communication skills Proficiency with Google Workspace, spreadsheets, and digital recordkeeping systems; experience with maintenance or asset-management software is a plus Ability to work independently while following purchasing authorization and escalation requirements Availability to work flexible hours, which may include early mornings, evenings, weekends, and holidays as needed Valid driver's license and insurable driving record if driving is required for the position Ability to maintain confidentiality and handle sensitive company and financial information
