Job Summary:
The Buyer is responsible for placing, confirming, tracking, and receiving the company's vendor purchase orders, as well as acquiring and managing consumables, office supplies, and services needed by the company. The Buyer is also responsible for maintaining a management system that meets regulatory and production needs related to inventory, including forecasting (especially for seasonally available materials), timelines, pricing, product certifications, and other documentation requirements. This position is not authorized to enter the Manufacturing Area.
Responsibilities:
Request and track raw materials/ingredients Request confirmation of receipt of Purchase Orders sent to suppliers. Enter all Purchase Order confirmations and estimated ship dates in the database. Verify all Purchase Orders are correct, and sign return confirmations if needed. Upon delivery and inspection, receive material in QuickBooks and verify data has been uploaded to the database. Work within the PFB database and MS Teams to manage tasks and projects. Requests and files require regulatory documentation from suppliers. Coordinate with QC and other departments to manage nonconformities of raw materials and supplies. Manage relationships with suppliers, including sales appointments, remote and onsite. Determine optimal methods of shipping, associated costs, and carrier information. Track and clear international shipments with brokers or carriers and correspond with suppliers. Create and process shop supplies and online orders through QuickBooks and maintain an inventory of all shop supplies. Able to troubleshoot and work with the team to resolve any issues. This position is part of the company's Good Manufacturing Practices as per ISO 22716, maintaining quality and compliance, and ensuring thorough documentation of all actions.

Promptly informs affected managers of known or anticipated problems. Ensures clear and timely communication within the department and with other departments to maximize productivity and minimize downtime. Acts as a problem solver and team player. Must have good written and verbal communication skills. A star at communicating with Vendors and Clients. Prepares and presents technical information or procedures to the lead chemist/owner and management team. Designs and implements training programs for key personnel in conjunction with other managers.

Qualifications/Skills:
2+ years of experience in QuickBooks. Must be experienced with computers, Word, Excel, MS Teams, and QuickBooks. Familiarity with other inventory management systems. Experience in International Regulatory, Natural, and Organic certifications preferred. Experience in a GMP environment is preferred. Proficiency in English and excellent verbal and written communication skills. Proficiency in mathematics pertaining to purchasing needs.
