We specialize in maintaining and servicing industrial equipment with an emphasis on safety, reliability, and long-term performance. As a growing company with a strong reputation in our field, we're committed to delivering responsive support and dependable solutions that help our partners operate effectively. The Opportunity We are seeking a Purchasing Associate to be based at our Sanford, FL facility as our operations and manufacturing activities continue to grow. This role will work closely with our vendor network to source parts, components, and materials for both service and production work — with an emphasis on building strong local vendor relationships, securing better pricing and faster turnaround, and staying ahead of parts that become discontinued or obsolete by identifying reliable alternates. Being on-site in Sanford and close to the equipment and the team is central to this role. Key Responsibilities Meet with vendors to negotiate pricing, lead times Source parts, components, and materials from local and regional vendors, building and maintaining strong vendor relationships Manage day-to-day purchasing activities, including preparing and processing purchase orders in accordance with established approval procedures Request and review vendor quotes, compare pricing and lead times, and assist with purchasing decisions Communicate with vendors regarding pricing, availability, order status, delivery schedules, and general account needs Maintain accurate purchasing records, including purchase orders, quotes, confirmations, invoices, and vendor documentation Monitor open purchase orders and follow up with vendors to ensure materials and products are received as expected, on time delivery Maintain and update purchasing and inventory information within QuickBooks, spreadsheets, and applicable company systems Assist with maintaining accurate inventory records and coordinating periodic inventory counts Monitor inventory levels and communicate upcoming purchasing needs based on established reorder points and operational requirements Assist with identifying alternative vendors or products when materials are unavailable, discontinued, or experiencing extended lead times Assist management with purchasing reports, spending information, inventory needs, and other administrative tasks as requested Work closely with operations, production, accounting, and management to ensure purchasing needs are communicated and addressed in a timely manner Follow company purchasing procedures, approval requirements, and established processes to ensure purchases are properly authorized and documented Review usage patterns to help forecast future needs and avoid running out or overstocking Qualifications Experience in purchasing, procurement, or vendor sourcing preferred; local manufacturing or industry experience a strong plus Established local vendor relationships or familiarity with the Sanford/Central Florida supplier base is a plus QuickBooks experience preferred Experience with purchasing or inventory management platforms/systems a plus Strong organizational skills and attention to detail Comfortable working with spreadsheets, purchase orders, invoices, and other business documentation Reliable, self-motivated, and comfortable managing multiple priorities Willingness to learn our purchasing procedures and approval process
