High School Education (College or Business School training preferred)Essential Knowledge/Skills:
Proficient in Microsoft office products; experience with the request for bid or proposal process; organizational skills, self-motivator; possess pleasant personality, effective communication skills, and positive attitude. The physical requirement of this position is sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met. The employee is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication of parts distances close to the eyes. The employee is subject to inside environmental conditions: Protection from weather conditions but not necessarily from temperature changes. Job Function :
To coordinate and administer the procurement of goods and services for the school district in accordance with Board policies, state and federal laws, grant requirements, and sound purchasing practices; to assist with the district centralized warehouse operations.- Process and review purchase requisitions for accuracy, completeness, budget availability, and compliance with district policies.
- Convert approved requisitions into purchase orders.
- Assist departments and schools in identifying appropriate purchasing methods and procurement requirements.
- Ensure purchases comply with district purchasing policies and procedures.
- Monitor open purchase orders and follow up on outstanding orders, deliveries, and vendor issues.
- Coordinate procurement activities for district departments, schools, and administrative offices.
- Assist with the preparation, issuance, and evaluation of bids, requests for proposals (RFPs), requests for qualifications (RFQs), and other solicitation documents.
- Maintain procurement schedules and bid documentation.
- Ensure compliance with applicable federal, state, and local procurement regulations, including grant-funded purchasing requirements.
- Maintain procurement files sufficient for audit purposes.
- Verify appropriate documentation for purchases, including quotes, bids, sole-source justifications, and approvals
- Serve as a point of contact for vendors regarding purchasing procedures, purchase orders, payments, and procurement opportunities.
- Establish and maintain positive working relationships with vendors and suppliers.
- Resolve purchasing and delivery issues in a timely manner.
- Assist with the centralized warehouse operations.
- Perform other duties and special assignments as requested by the Purchasing Manager and/or the Chief Financial Officer.
- Maintains regular, dependable, and punctual attendance; reports to work as assigned; remains available to perform essential duties throughout the workday; and provides consistent service necessary to ensure student safety, instructional continuity, and effective district operations
