Position Summary We are seeking a detail-oriented Procurement & Project Coordinator to join our team. This position is responsible for coordinating furniture procurement activities, processing purchase orders, monitoring manufacturer acknowledgments, tracking project schedules, and ensuring products are delivered accurately and on time. The ideal candidate thrives in a fast-paced environment, enjoys managing multiple projects simultaneously, and works effectively with sales, design, project management, manufacturers, and installation teams. Key Responsibilities Purchasing & Order Management Create and process purchase orders with Steelcase and other manufacturer partners. Review project specifications and ensure order accuracy. Validate pricing, product details, finishes, and quantities before order submission. Monitor order acknowledgments and resolve discrepancies. Track manufacturer lead times and proactively communicate schedule changes. Project Coordination Coordinate with sales representatives, designers, and project managers throughout the order lifecycle. Maintain accurate project records and documentation. Support project schedules from order entry through installation. Assist with managing back orders, product substitutions, and special requests. Vendor & Manufacturer Communication Serve as a primary point of contact with manufacturers and suppliers. Follow up on order status, shipping schedules, and delivery dates. Resolve freight, damage, shortage, and warranty issues. Build positive working relationships with vendor partners. Operations Support Update ERP and project management systems with current order information. Assist with inventory and warehouse-related coordination when needed. Support continuous improvement of purchasing and project workflows. Qualifications Required 2+ years of purchasing, procurement, customer service, project coordination, or operations experience. Strong organizational and time-management skills. Excellent written and verbal communication. High attention to detail and accuracy. Proficiency with Microsoft Office, especially Excel and Outlook. Ability to prioritize and manage multiple projects simultaneously. Preferred Experience in the commercial furniture, construction, interior design, or dealership industry. Experience working with Steelcase products or other contract furniture manufacturers. Familiarity with ERP, order management, or project management software.
