Our work includes fence installation and repair, gates, railings, access-control solutions, and custom fabrication for projects of varying size and complexity. As our operations continue to grow, we are seeking a dependable, organized, and detail-oriented Purchasing Coordinator to support purchasing activities, material availability, vendor communication, and project-related procurement. This position is ideal for someone who enjoys staying organized, working with vendors and internal teams, tracking materials and orders, and helping ensure projects have the supplies they need to stay on schedule. Position Overview The Purchasing Coordinator supports the day-to-day purchasing and material coordination needs of our operations. This position assists with purchase orders, vendor communication, pricing and availability checks, delivery tracking, documentation, and coordination of materials for upcoming and active projects. Working closely with project, operations, fabrication, and installation teams, the Purchasing Coordinator helps ensure fencing materials, gates, hardware, components, and other required supplies are ordered accurately and available when needed. The ideal candidate is organized, dependable, comfortable managing multiple orders and deadlines, and able to communicate effectively with vendors and internal team members. Previous purchasing or construction experience is helpful but not required for candidates with strong administrative and organizational skills. Key Responsibilities Assist with purchasing materials, components, supplies, and equipment required for customer projects and daily operations Prepare, process, and maintain purchase orders and related purchasing documentation Review material requests and verify quantities, specifications, and required delivery dates before placing orders Request pricing, product availability, lead times, and other information from approved vendors and suppliers Communicate with vendors regarding orders, delivery schedules, backorders, substitutions, and product availability Track open purchase orders from initial placement through delivery Follow up on delayed or incomplete orders and communicate changes to the appropriate team members Coordinate material requirements with project, operations, fabrication, and installation teams Help ensure materials are available according to project schedules and operational priorities Assist with sourcing fencing materials, gates, hardware, fasteners, fabrication components, and other project supplies Compare basic vendor pricing and purchasing options when requested Maintain accurate vendor information, purchasing records, order confirmations, invoices, and supporting documentation Verify delivered materials against purchase orders and report shortages, damages, or incorrect items Assist with resolving routine discrepancies involving quantities, pricing, deliveries, and documentation Monitor commonly used materials and help identify replenishment needs Support inventory organization and routine material counts Maintain organized electronic and physical purchasing records Communicate material shortages, extended lead times, and potential scheduling issues promptly Assist with coordinating special-order and project-specific materials Build professional working relationships with vendors and suppliers Support efforts to improve purchasing efficiency, material availability, and cost awareness Assist with additional purchasing, inventory, and operational responsibilities as needed Qualifications High school diploma or equivalent required; associate or bachelor's degree preferred Previous experience in purchasing, procurement support, construction, inventory, supply chain, administrative coordination, or a related field is preferred Strong organizational skills and attention to detail Ability to manage multiple purchase orders, requests, and deadlines simultaneously Strong written and verbal communication skills Comfortable communicating professionally with vendors and suppliers Ability to review quantities, pricing, product information, and order documentation accurately Comfortable working with email, spreadsheets, purchase records, and business software Strong follow-through and ability to track orders through completion Good problem-solving skills and ability to address routine purchasing discrepancies Ability to prioritize changing material and project requirements Ability to work independently while collaborating effectively with project and operations teams Basic knowledge of construction materials, fencing products, or building supplies is helpful but not required Willingness to learn product specifications, vendor processes, and company purchasing procedures What We Offer Competitive compensation Full-time employment opportunities Training and support for company purchasing processes Professional and team-oriented work environment Hands-on experience with purchasing, materials, inventory, and construction operations Opportunities to develop vendor management and procurement skills Exposure to residential, commercial, and industrial projects Opportunities for professional growth and additional responsibilities Why Join Milestone Fence?
