Job Summary:
The Procurement Specialist is a vital part of our operations team, providing purchasing support for project management staff across all active job sites. This role is responsible for sourcing, ordering, and tracking construction materials, equipment, and consumables needed to keep our geothermal, data center, and airport infrastructure projects on schedule. Working under the direction of the Procurement Manager, the Procurement Specialist will coordinate closely with vendors, warehouse staff, and field teams to ensure that supplies are delivered accurately and on time. This position requires strong attention to detail, organizational skills, and a basic understanding of construction materials.

K Key Responsibilities:
1. Purchasing and Material Replenishment Process material and supply requests from project managers and site supervisors in a timely manner. Create and maintain accurate purchase orders, ensuring pricing, quantities, and delivery details are correct. Track inventory levels of consumables and commonly used supplies to ensure proactive replenishment. Identify potential vendors for new materials or specialty items and assist with sourcing efforts. 2. Vendor Coordination Communicate with vendors and suppliers to confirm availability, lead times, and pricing. Follow up on orders to ensure on-time delivery and resolve any delays or discrepancies. Help maintain relationships with current vendors and support efforts to improve supplier performance. 3. Administrative Support Maintain digital records of purchase orders, vendor quotes, packing slips, and delivery confirmations. Assist with invoice reconciliation by verifying pricing and quantities against purchase orders and packing lists. Support compliance with internal procurement policies and procedures.
Qualifications Required:
High school diploma or equivalent; associate degree or coursework in business, supply chain, or construction management is a plus. 1-2 years of experience in purchasing, procurement, or administrative support—preferably in a construction or industrial environment. Familiarity with common construction tools, materials, and supplies. Basic proficiency in Microsoft Office (especially Excel and Outlook). Strong organizational skills and ability to manage multiple tasks and priorities. Excellent communication skills and a customer service mindset. Dependable, detail-oriented, and able to work independently in a fast-paced setting
Preferred:
Experience using procurement software or ERP systems. Previous experience supporting projects in construction, energy, or infrastructure sectors. Understanding of warehouse logistics or job site material flow.
Work Environment:
This position is based at our Buffalo location, with occasional visits to local job sites or supplier locations. The work is largely administrative and coordination-focused, requiring regular communication with both internal teams and external vendors. The Procurement Specialist must be able to adapt to shifting project demands and be proactive in supporting team needs.
