Job Description

Overview Company seeking a dedicated Procurement Specialist/Administrative Assistant to join our dynamic team. In this role, you will oversee procurement activities, manage customer and vendor relationships, and support administrative functions essential to our operations. The ideal candidate will possess strong skills in supply chain management, communication and organization Responsibilities Manage procurement processes to ensure timely sourcing and purchasing. Coordinate with vendors through direct negotiation and relationship management to secure a seamless procurement process. Maintain accurate ordering fulfillment information utilizing spreadsheets and proprietary software. Support logistics and supply chain operations by tracking shipments, coordinating deliveries, and communicating that information to appropriate staff. Prepare, edit, proofread, copy, scan, file, and distribute documents, correspondence, reports, forms, and other materials. Schedule appointments, meetings, interviews, conference rooms, and travel arrangements as needed. Maintain calendars, contact lists, office records, files, databases, and electronic document systems. Enter, update, and verify information accurately in company systems, spreadsheets, and shared records. Support staff and management with special projects, meeting preparation, reports, presentations, and follow-up tasks. Maintain confidentiality of employee, customer, financial, and business information. Provide professional customer service to internal and external contacts and represent the organization in a positive manner. Experience Proven experience in procurement processes. Previous administrative, or office support experience preferred. Strong background in materials management, purchasing management systems, and supply chain coordination. Demonstrated ability in vendor communication, negotiation, and relationship building. Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and Teams. Strong written and verbal communication skills. Knowledge of logistics, pricing strategies, production planning, and merchandising processes. Excellent organization, time management, attention to detail, and follow-through. Ability to prioritize tasks, work independently, and manage multiple responsibilities in a professional manner. Dependable, punctual, discreet, and able to maintain confidential information. Positive attitude and ability to work cooperatively with employees, customers, vendors, and visitors.
