full-time Part-Time | In Studio | Bronxville, NY Village Design Studio is a female-founded, family-run boutique interior design firm based in Bronxville, NY. We are looking for an organized, proactive Procurement & Project Coordinator to support our Senior Project Manager and help keep our projects moving smoothly behind the scenes. This is not a client-facing or creative design role. Instead, this position is ideal for someone who loves organization, systems, logistics and follow-through, and who is excited by the idea of working within a fast-paced, creative environment. This is a great opportunity for someone who loves the world of interiors but whose strengths lie in organization, operations and getting things done. What You'll Do Working closely with our Senior Project Manager, you'll help manage the day-to-day logistics behind our interior design projects, including:
- Requesting and organizing vendor quotes
- Preparing and placing purchase orders
- Tracking orders and proactively following up on shipment statuses and lead times
- Communicating with vendors and sales representatives regarding orders, availability and updates
- Coordinating incoming shipments with our receiving warehouse
- Managing damages, shortages, returns and claims through resolution
- Assisting with scheduling client deliveries and installations
- Following up with internal team members to gather the information needed to keep orders and projects moving
- Identifying outstanding items and next steps without waiting to be asked
- Occasionally being onsite at project locations to facilitate returns, resolve logistical issues or oversee deliveries and installations as needed
- Pitching in on other project-related logistics and operational needs that may fall outside of the day-to-day responsibilities above Because we are a small team and every project is different, there will occasionally be needs that fall outside of the typical responsibilities of this role.
We're looking for someone who is flexible, resourceful and willing to jump in where needed to help keep a project moving. Who We're Looking For You are someone who is naturally organized and genuinely enjoys keeping track of details. You're comfortable juggling multiple projects and priorities at once, and you take ownership of your responsibilities from start to finish. You are also a strong communicator and a people person. You aren't afraid to pick up the phone, follow up with a sales rep, ask an internal team member for missing information, or politely push for an answer when you need one. Most importantly, you're a self-starter. We're a small, busy team, so we're looking for someone who can learn our systems, anticipate what needs to happen next and take initiative rather than waiting for step-by-step direction. Experience or an interest in interior design is a huge plus, but it is not required. Strong organizational skills, attention to detail and a willingness to learn are more important. Schedule
- Part-time, Tuesdays, Wednesdays and Thursdays
- In studio in Bronxville, NY
- Ideally 9:00 AM-5:00 PM , although we can offer some flexibility for the right candidate
- This is an in-person position and is not eligible for remote work
- Occasional local travel to project sites, warehouses or other locations may be required as part of the role
- Looking for someone who can start as soon as possible
