Job Description

Job Summary We are a small manufacturer seeking an organized, detail-oriented, and reliable Purchasing & Administrative Coordinator to keep our day-to-day business functions running smoothly. This full-time role bridges bookkeeping, purchasing, and general office administration. The ideal candidate is a proactive multi-tasker who thrives in a dynamic environment, possesses excellent communication skills for front-facing interactions, and has at least one to two years of hands-on experience using QuickBooks Online or similar accounting software to manage transactions independently. Regular hours are M-F, 8am - 5pm.
Job Description Accounts Payable Invoice Processing:
Process all Accounts Payable (AP) invoices accurately for payment, verifying and matching them against received Purchase Orders (POs).
Filing & Organization:
Maintain efficient systems for pending invoices (filed securely awaiting payment) and promptly file all finalized, paid AP invoices.
Vendor & Statement Management:
Act as the primary point of contact for vendor inquiries regarding missing bills and account statements.
Reconciliations:
Perform monthly reconciliations of corporate credit card statements, ensuring all receipts are logged and allocated correctly.
Purchasing & Inventory Requisition Fulfillment:
Receive internal purchase requests from team members and execute orders efficiently.
Quoting:
Draft and issue Requests for Quotes (RFQs) to suppliers, compiling options to ensure optimal pricing and delivery times.
Order Tracking:
Issue Purchase Orders (POs) to vendors, track arrivals, and seamlessly hand off completed documentation to the Shipping/Receiving team.
Inventory:
Conduct physical monthly inventory counts and maintain spreadsheet logs to ensure data matches actual stock.
Office Administration & Facilities Support Front Desk Presence:
Serve as the welcoming face of our company by answering the main phone line, greeting visitors, and handling incoming/outgoing mail.
Facilities Main Contact:
Primary contact for facilities subcontractors and building vendors (e.g., coordinating grass cutting, snowplowing, cleaning crews, and general repairs).
Supply Management:
Monitor and replenish all internal office and kitchen supplies to keep the team supported. Job setup/
Completion:
Create job binders for new jobs and scan/tear down binders when jobs are complete. Skills Proven experience in office administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and spreadsheet experience 1-2 years experience with QuickBooks Online or Desktop or similar accounting software Excellent communication skills for client interaction, team collaboration, and vendor inquiries Strong multitasking abilities with exceptional attention to detail in filing, record keeping, and scheduling Ability to handle confidential information with discretion and professionalism Familiarity with multi-line phone systems, calendar management tools, and office equipment operation
Education Education:
High school diploma required; an Associate's degree in Business Administration, Accounting, or a related field preferred.
