  • The Purchasing Coordinator supports and helps coordinate purchasing activities, inventory planning, vendor communication, purchase order management, and procurement follow-up to ensure materials, supplies, and inventory are available to meet production and operational needs.
This role requires a stronger understanding of purchasing processes, inventory control, supplier coordination, and internal communication than an entry-level purchasing position. The Purchasing Coordinator works closely with the purchasing lead and/or manager, vendors, production, warehouse, and internal departments to help maintain accurate records, support cost-effective purchasing decisions, resolve order issues, and contribute to efficient supply chain operations.
Primary Responsibilities:
  • Coordinate day-to-day purchasing activities in support of the Purchasing Manager, including purchase order preparation, processing, tracking, and follow-up.
  • Review purchase requests, inventory needs, order quantities, pricing, vendor information, and delivery requirements for accuracy before processing orders.
  • Monitor inventory levels, usage trends, reorder points, and material availability to help ensure appropriate stock levels are maintained for production and business operations.
  • Communicate directly with vendors regarding pricing, availability, lead times, order status, delivery schedules, backorders, substitutions, and product information.
  • Maintain accurate purchasing, inventory, supplier, pricing, and order records in company systems.
  • Track open purchase orders and proactively follow up with vendors to support on-time delivery and minimize material shortages or production delays.
  • Review order confirmations, packing slips, invoices, and receiving information to identify and help resolve pricing, quantity, delivery, or product discrepancies.
  • Assist with inventory counts, cycle counts, stock organization, reconciliation of inventory records, and investigation of inventory variances.
  • Help maintain vendor relationships by providing timely communication, accurate information, and professional follow-through.
  • Prepare purchasing reports, inventory updates, vendor information, and order status summaries as requested.
  • Support compliance with company purchasing procedures, approval processes, documentation requirements, and inventory control practices.
Qualifications:
  • High school diploma or equivalent required; associate degree or coursework in business, supply chain, logistics, operations, or a related field preferred.
  • Previous experience in purchasing, procurement support, inventory control, warehouse coordination, manufacturing, or administrative support preferred.
  • Working knowledge of purchase orders, vendor communication, inventory records, order tracking, and basic procurement processes.
  • Strong attention to detail with the ability to review pricing, part numbers, quantities, order confirmations, invoices, and inventory information for accuracy.
  • Proficiency with Microsoft Office applications, especially Outlook and Excel; experience with ERP, inventory, or purchasing software preferred.
  • Strong communication and follow-up skills with the ability to work professionally with vendors, internal departments, and team members.
  • Ability to organize daily priorities, manage multiple open orders, track deadlines, and respond to changing business needs in a fast-paced manufacturing environment.
  • Ability to maintain confidentiality, accurate records, and consistent documentation related to purchasing and supplier information.
  • Ability to work independently while also following direction from the Purchasing Manager and supporting department goals.
  • Ability to work in a manufacturing and warehouse environment, including exposure to production areas, inventory storage areas, moving equipment, noise, and varying temperatures.
  • Ability to stand, walk, bend, reach, and move throughout office, warehouse, and production areas as needed to support inventory and purchasing activities.
  • Ability to lift, carry, and move materials or inventory items up to 25 pounds, with assistance for heavier items as needed.
  • Must be able to use a computer, phone, and standard office equipment for extended periods while also performing physical inventory-related tasks.
